About the Position
Vortex Plumbing & Heating is looking for an experienced, organized and dependable Office Administrator / Service Dispatcher to join our Weyburn office.
This is a varied front-office position involving customer service, technician scheduling, dispatching, data entry and general administrative work. The successful applicant will support Vortex Plumbing & Heating and its affiliated companies and will report directly to the Office Manager.
The person in this position must be comfortable answering busy phones, dealing with customers, coordinating technicians and managing changing priorities throughout the day.
Occasional weekend dispatching will be required as part of an on-call rotation. Weekend dispatching can be completed remotely from home.
Responsibilities
— Answer incoming phone calls and assist customers professionally
— Gather customer and job information and enter it accurately into SimPro
— Schedule and dispatch service technicians
— Communicate scheduling changes and job information to customers and technicians
— Create, update and maintain customer and job records
— Monitor active service work and assist with customer follow-up
— Complete general data entry, filing, scanning and email correspondence
— Assist with preparing invoices, recording customer payments and entering purchase orders as assigned
— Provide administrative support to Vortex Plumbing & Heating and its affiliated companies
— Work closely with the Office Manager and other team members
— Handle confidential company and customer information appropriately
Qualifications
— At least one year of experience in office administration, customer service, scheduling or dispatching
— Strong telephone and customer service skills
— Comfortable using computers and learning new software
— Accurate and efficient data-entry skills
— Strong organizational and time-management skills
— Able to manage interruptions and changing priorities throughout the day
— Reliable, professional and able to work as part of a team
— Experience with SimPro or similar job-management software is an asset, but training will be provided
