We're growing and looking for a proactive Office Admin/Bookkeeper who can wear multiple hats with confidence, help us stay on track, and make our operations run smoother than ever!
Your Role:
This is not your average admin role. You'll be the right hand to the business, ensuring everything behind the scenes runs like a well-oiled machine. You'll support clients, manage the back office, keep client's books clean, and make sure the day-to-day is handled with excellence.
What You'll Do:
- Perform bookkeeping, data entry, and look after our accounts receivable
- Take and post payments, manage deadlines, and handle invoicing
- Answer phones and emails with professionalism and warmth
- Schedule boardroom meetings
- Create SOPs and improve systems to enhance office efficiency
- Keep your desk space tidy and organized
- Maintain clear documentation and file management
- Post to Instagram and other platforms with ease
- Learn and adapt quickly to new software
- Work independently while being an essential part of the team
- Learn new accounting programs
Who You Are:
- You live in Nanaimo, Ladysmith or Parksville area
- Honest, respectful, reliable, and motivated

- You are someone who LOVES numbers!
- You’re PUMPED when you reconcile a bank or credit card statement!
- You are experienced in Sage 50 and/or QBO online
- You have excellent communication skills and follow-through skills
- You preferably have 3 - 5+ years bookkeeping experience
- You can work independently and with accuracy
- You are willing to learn new accounting software
What You Need:
- Strong understanding of Sage 50 and/or QBO
- Minimum 3 - 5 years of bookkeeping experience
- Excellent written and verbal communication skills
- Ability to work effectively independently
- Strong organizational skills and attention to detail
- Ability to adhere to deadlines and diarize them
Bonus Points If You Have:
- Love creating structure and SOPs
- Can bring creative solutions to office systems
- Have a keen eye for details and process improvements
- Experience with Asana as we use it to diarize all our client matters
- Experience with Instagram
- Experience in personal tax filings - Profile program
- Experience in corporate tax filings - Profile program
- Experience working in professional offices
- Experience with law firm accounting software
