Territory Coordinator
Position Overview
The Territory Coordinator plays a key role in supporting a team of Territory Managers and managing customer relationships within an assigned territory (BC). Operating within a customer-focused service model, the TC partners closely with Territory Managers to ensure exceptional service delivery, efficient order management, and seamless communication between customers and internal departments.
As the primary point of contact for order coordination and account support, the Territory Coordinator is responsible for maintaining accurate information, managing sales and shipping processes, and supporting overall territory operations to drive customer satisfaction and business growth. This position is located in Burnaby, BC, in office.
Key Responsibilities
- Partner with Territory Managers to create, manage, and maintain opportunities.
- Prepare and deliver customer estimates and quotations in a timely manner, with a goal of same-day turnaround whenever possible.
- Process approved estimates into order confirmations and ensure accuracy throughout the order lifecycle.
- Coordinate shipment creation and work closely with warehouse teams to ensure all shipping documentation and information are complete and accurate.
- Manage customer-specific shipping requirements, including direct shipments, consolidated shipments, and special delivery instructions.
- Liaise with the Purchasing department regarding lead times, special orders, bulk purchases, and pre-invoicing requirements.
- Coordinate logistics and delivery methods to ensure efficient and timely order fulfillment.
- Collaborate with the Finance department to monitor customer account status, accounts receivable, outstanding balances, and account credits, while communicating updates to Territory Managers on a regular basis.
- Maintain accurate and up-to-date customer records within Acumatica, including billing contacts, shipping addresses, shipping instructions, invoice history, and account details.
- Support Territory Managers in coordinating TOG and station wear orders with Starfield/Lion Product Specialists, including sizing, personalization details, and delivery timelines.
- Manage warranty claims and product return processes by creating and tracking customer case files.
- Review operational reports and communicate updates regarding open sales orders, shipments, warranty claims, and return cases to Territory Managers and internal stakeholders.
- Coordinate with ISP departments regarding customer equipment held for repairs or alterations and communicate inbound opportunities as required.
- Work closely with the Technical Services Division Field Service Coordinator to identify potential sales and service opportunities within the customer base.
- Participate in territory planning sessions, sales meetings, and other team meetings as required.
- Perform additional administrative and operational duties as assigned.
Reporting & Performance Tracking
- Monitor and track open sales orders and opportunities on a weekly basis.
- Conduct monthly reviews and validation of customer contact information and account status updates.
- Prepare quarterly territory reports, including aggregate sales data and customer-specific performance metrics.
Territory Support Structure
The Territory Coordinator provides dedicated support to three Territory Managers and is responsible for customer coordination across the Lower Mainland and Northern British Columbia territories.
