This position is responsible for building the City of Regina’s and Tourism Regina’s reputation through memorable events by managing the production from concept through completion. This position plans, designs, and produces internal and external special events, and assists in sponsorship and advertising related projects. This position reports to the Manager, Destination Development.
- Oversee the planning and execution of corporate and public events including themes, concepts, and objectives in relation to organizational goals and Council initiatives – virtual, hybrid and in-person.
- Coordinate and manage event activations and other corporate projects including leading internal and community working committees, coordination of event logistics, oversee event promotion, rental agreements, permits and contract development and negotiation.
- Venue scout, organize facilities and manage all event details such as location, signage and decor, catering, entertainment, invitee list, special guests, equipment, promotional material, translation services as required, etc.
- Coordinates the work activities of employees and volunteers at events.
- Own strategy for internal events including employee recognition and appreciation, diversity and inclusion and other corporate priorities contributing to the employee experience.
- Deliver event production know-how to the Tourism Regina team that supports our visitors, residents and stakeholder-facing marketing goals throughout the year.
- Collaborate with the Tourism Regina team to establish the creative direction, promotion, collateral, swag, and any other event materials.
- Manage the multi-year contract with a supplier of record to procure merchandise including apparel and promotional materials, including the e-commerce store, tied to company values and special moments for visitors, residents and employees.
- Liaise with leadership team to present upcoming initiatives, incorporate feedback, and report on final outcomes. Coordinates and facilitates special events for the city.
- Manage budget related to special event and activation activities.
- Foster a placemaking environment and capitalize on partnership opportunities for City of Regina participation with major city-wide events and organizations like Regina Exhibition Association Limited and Tourism Regina.
- Performs related work as required.
- Typically, the knowledge, skills and abilities required are obtained through completion of a degree or diploma in hospitality management, marketing, business, communications or a similar discipline, and three (3) to five (5) years’ experience in event planning and activation, or an equitable combination of education and experience.
- Knowledge of the principles and best practices of marketing, public relations and event management.
- Proven experience as an events planner or organizer.
- Project management knowledge, skills, and abilities.
- Strong interpersonal and relationship building skills.
- Ability to align plans and activities with organizational goals and objectives.
- Ability to express ideas effectively orally, in writing and through presentations.
- Ability to work both independently and as part of a team under demanding conditions in a changing environment.
- Analytical skills to identify trends and challenges.
- Detail-oriented with excellent organization, multitasking and time management skills
- Ability to work with employees at all levels of the organization and elected officials.
- Demonstrates creativity and innovation.
- Must possess a valid class 5 driver’s license.
