We are looking for a full-time bookkeeper to join our team, with a role that offers autonomy, meaningful work, learning opportunities, and a chance to directly impact the success of veterinary clinics across Canada.
We are seeking a highly organized and detail-oriented Full-Time Bookkeeper to support VetCircle’s financial operations.
This role ensures accurate financial tracking, streamlined processes, organized records, and timely financial reporting. The Bookkeeper will play a key role in providing the CEO and COO with reliable insights to guide decision-making, support organizational growth, and maintain financial clarity.
Key Responsibilities
- Process payroll for all VetCircle employees and manage expense reimbursements, bonuses, salary adjustments, benefits, vacation pay, and related HR financials
- Record all incoming and outgoing financial transactions
- Reconcile bank accounts, QuickBooks, credit cards, Stripe, and other payment platforms
- Issue and track invoices for memberships, events, recruiting, and consulting services
- Monitor overdue accounts and follow up on outstanding payments
- Prepare monthly, quarterly, and annual financial reports and track GST/HST/PST and prepare provincial remittances
- Liaise with the accountant on year-end statements and finalization
- Work with supplier partners to gather monthly sales reports and keep an up-to-date list of member clinics, and ensure supplier accuracy
- Reconcile supplier purchase and rebate data for each practice, and prepare and distribute business update reports (February, August, October)
- Support inventory review and consolidation for member clinics
- Analyze purchase data to help clinics meet rebate targets and demonstrate ROI and savings to VetCircle members
- Look at ways to decrease costs, and find opportunities to invest and support financial growth
One-Off Projects
- Reorganize QuickBooks to better reflect Operations and Community revenue/expenses
- Migrate VetCircle memberships from Stripe to a new payment provider
Qualifications
- Minimum 3 years bookkeeping experience
- Minimum 3 years QuickBooks experience
- Advanced Excel skills (VLOOKUP, HLOOKUP, XLOOKUP, PivotTables, Macros, etc.)
- Customer service and administrative experience
- Exceptional attention to detail, strong organizational skills, and a calm, solutions-focused approach
Pay: $40,000.00-$50,000.00 per year
