The Durham Hospital Foundation is seeking a dynamic individual for the full-time role of Office Administrative Assistant. The Administrative Assistant is a full-time position working out of the Durham Hospital Foundation office, which is adjacent to the Durham Hospital. Office hours are Monday to Friday, with occasional weekend and evening work required.
The Durham Hospital Foundation Administrative Assistant support the Foundation’s goal of fundraising for the Durham Hospital through the administration of daily office operations, coordinating donor communications, processing donations, and assisting with special event logistics. This role will serve as a liaison between the community, hospital and medical clinic staff, and the Foundation team.
Key Responsibilities
· Provide front-line reception services for the Foundation and serve as first point of contact for visitors, hospital staff, donors and the general public.
· Manage daily office operations, answering inquiries, routing calls and emails, and maintaining both physical and digital filing systems.
· Process incoming donations (including in-memorial and tribute gifts), issue tax receipts, and maintain accurate donor databases.
· Undertake basic finance duties including accounts receivable, accounts payable, monthly reconciliations, reporting and coordination with Foundation bookkeeper.
· Track and provide administrative support for the completion of compliance reporting.
· Oversee the maintenance of office facilities and equipment, ensuring everything is in working order and addressing any issues that arise.
· Support planning, logistics and execution of special events hosted by the Foundation.
· Provide administrative support for Board and Committee activities.
· Draft and proofread correspondence, newsletters and reports for Board, donors and stakeholders.
· Prepare posts and updates for the Foundation’s social media accounts and website.
Qualifications, Knowledge & Skills:
· 1-3 years of administrative experience, ideally within a non-profit, foundation or healthcare setting.
· Diploma or certificate in office administration, business management or a related field
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); experience with CRM or fundraising databases; experience with Quickbooks financial software.
· Proficiency in using social media platforms.
· Exceptional interpersonal skills, high attention to details, and the ability to maintain confidential regarding donor and financial information.
Pay: $25.00 per hour
