Anderson Dupuis Wellness is seeking an experienced and highly organized Office Manager / Administrative Support Professional to join our growing counselling and psychological assessment clinic.
We are looking for someone who thrives in a professional, client-centred environment and can confidently manage the day-to-day administrative operations of a busy mental health practice. The ideal candidate is proactive, detail-oriented, and able to work independently while supporting both our clinicians and clients with warmth and professionalism.
Position
- Part-time or full-time (approximately 25–40 hours per week)
- Hourly wage: $25–$35, based on experience and qualifications
Required Qualifications
- Demonstrated experience using Jane App (Jane Practice Management Software) is required. Applicants without Jane experience will not be considered.
- Several years of experience in an office management or senior administrative support role.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
- Ability to prioritize competing tasks while maintaining accuracy and confidentiality.
- Proficiency with Microsoft Office and general office technology.
Assets
- Experience working in a counselling, psychology, or other mental health setting.
- Knowledge of mental health clinic processes, including client intake, scheduling, billing, insurance claims, and maintaining confidential health records.
- Familiarity with trauma-informed and client-centred service delivery.
Responsibilities
- Manage clinician schedules and client appointments.
- Coordinate client intake, referrals, and ongoing administrative support.
- Process billing, payments, and insurance documentation.
- Maintain electronic health records and clinic documentation using Jane.
- Respond to phone calls and emails in a professional and compassionate manner.
- Support the daily operations of the clinic and contribute to a welcoming, efficient environment.
