What this job involves:
JLL Capital Markets is seeking a highly organized, detail-oriented, and proactive Transaction Coordinator to support a fast-paced investment sales team. This position serves as a critical operational hub for deal execution, working closely with brokers, legal counsel, clients, and prospective buyers throughout the transaction lifecycle. The ideal candidate thrives in fast-paced environments, demonstrates exceptional attention to detail, and possesses the technical and interpersonal skills necessary to advance complex transactions from mandate execution through closing.
What your day-to-day will look like:
Marketing & Materials Development
Prepare comprehensive proposals, offering memoranda, executive summaries, and marketing packages for institutional investment opportunities
Coordinate professional photography, site plans, aerials, and property documentation to support marketing initiatives
Maintain organized databases of property information, transaction comps, and marketing collateral
Support the creation of client pitch materials and new business presentations for prospective mandates
Investor & Buyer Communications
Respond to and qualify incoming inquiries from investors, brokers, and prospective purchasers.
Coordinate the distribution of marketing materials and data room access.
Manage non-disclosure agreements (NDAs), ensuring proper execution and record keeping.
Maintain buyer and investor tracking reports.
Transaction Management
Draft and prepare correspondence, agreements, letters, and transaction-related documents.
Coordinate due diligence requests and document collection.
Track deal milestones, deadlines, and required deliverables.
Assist with offer management and transaction reporting.
Document Preparation & Administrative Support
Draft NDA's, due diligence checklists, letters of intent, offer summaries, and marketing update reports
Prepare and coordinate execution of agreements including listing agreements, and commission documentation
Manage calendars, meetings, and client communications.
Maintain CRM databases and contact records.
Coordinate electronic filing systems and document organization.
Support legal counsel with document preparation and closing coordination activities
Maintain comprehensive transaction files with organized folder structures and audit-ready documentation
Required Qualifications:
2+ years of experience in commercial real estate, brokerage, professional services, legal, banking, or a related field.
Relevant post-secondary diploma or university degree
Exceptional organizational and time-management skills.
Strong written and verbal communication abilities.
Proficiency with Microsoft Office (Word, Excel, PowerPoint).
Experience with Adobe Acrobat and CRM systems is an asset.
Ability to manage confidential information with discretion.
Strong attention to detail and ability to work under tight deadlines.
