Job Summary
The School Secretary serves as the first point of contact for students, parents, staff, and visitors. This role is responsible for providing administrative support to ensure the smooth operation of the school’s front office, handling inquiries, and maintaining a welcoming and organized environment.
Key Responsibilities
Front Desk & Visitor Support
- Greet and assist parents, students, and visitors in a friendly and professional manner
- Provide accurate information and direct individuals to the appropriate staff or department
- Maintain a welcoming and organized front office environment
Communication
- Answer and manage incoming phone calls to the main school line
- Provide information, take messages, and route calls appropriately
- Manage general school email and front office communications
Student Attendance & Records
- Assist with student check-in and check-out procedures
- Maintain accurate attendance records and follow up on absences
- Support student registration, enrollment, and withdrawal processes
Administrative Support
- Provide general administrative assistance to staff and administration
- Prepare correspondence, documents, and reports as needed
- Perform data entry and maintain student and staff records
- Photocopying, filing, and organizing office documents
Office Operations
- Sort and distribute incoming mail and packages
- Prepare outgoing mail and deliveries
- Monitor and replenish office supplies and materials
Safety & Security
- Ensure all visitors follow school sign-in and safety procedures
- Monitor school entrance and maintain security protocols
- Respond appropriately to emergency situations following school procedures
Collaboration
- Work closely with school staff to support daily administrative needs and communication
Qualifications
- High school diploma or equivalent required; additional education in office administration is an asset
- Previous experience in a front office, school, or customer service role preferred
- Strong communication and interpersonal skills
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Experience with office equipment (copiers, printers, etc.)
- Excellent organizational skills and attention to detail
- Ability to multitask and prioritize in a fast-paced environment
- Familiarity with school policies and procedures is an asset
School Values & Workplace Expectations
- Staff are required to cover their heads with a bandana while on school property, during field trips, and on professional development days
- Staff are required to bring vegetarian snacks and lunches (no meat, egg, or fish) while on school premises and during working hours
