Our Client
Fusion West Manufacturing is a Saskatchewan-based manufacturer producing steel waste and recycling bins for customers across Western Canada. Since acquiring the business in 2021, the ownership team has expanded into new markets, particularly throughout British Columbia, while continuing to grow the operation from its North Battleford facility.
Growth has brought new opportunities across the business while also increasing the pace and complexity of the operation. The office works closely with every part of the business, supporting everything from purchasing and logistics to production and customer service. For someone who enjoys learning, the role offers exposure to many aspects of the operation and the opportunity to build a broad understanding of how the business comes together.
The Opportunity
Every finished order, incoming invoice, supply purchase, and outbound shipment passes through the office in some capacity. As the Office & Logistics Coordinator, you'll support logistics, purchasing, accounting, payroll, and day-to-day office operations, becoming someone the business relies on to keep work moving.
Throughout the day, you might be booking freight for a shipment leaving the yard, processing supplier invoices, preparing customer invoices, ordering production supplies, reviewing employee timecards, or updating information in the ERP system. You'll work closely with ownership, suppliers, customers, and the production team, giving you exposure to every stage of the operation.
While experience across every area is certainly an asset, it isn't expected. We're looking for someone who enjoys learning, approaches their work with accuracy, and takes ownership of the responsibilities they are given.
Key Responsibilities
As the Office & Logistics Coordinator, you will work collaboratively and be responsible for:
1. Logistics & Shipping Coordination
- Coordinate outbound shipments and book freight carriers.
- Prepare shipping documents, packing lists, and related paperwork.
- Communicate with transportation providers and customers regarding shipments.
- Ensure shipments are processed accurately and on schedule.
2. Accounting & Administrative Support
- Process accounts payable invoices accurately and efficiently.
- Generate customer invoices and process accounts receivable.
- Receive customer payments and distribute account statements.
- Maintain organized digital records and supporting documentation.
3. Procurement & Office Operations
- Source and purchase office and production supplies (excluding steel).
- Compare pricing and work with vendors to obtain best value.
- Support inventory-related purchasing activities.
- Provide general office support, including answering phones and greeting occasional visitors.
4. Payroll & Operational Support
- Verify digital time clock hours for job costing purposes.
- Provide backup support for bi-weekly payroll processing using Payworks.
- Learn and utilize the company's ERP system (JobBoss²/E2) for day-to-day operations.
- Assist with additional administrative projects as the business continues to grow.
Qualifications
As the Office & Logistics Coordinator, you will possess the following qualities:
The Essentials (Hard Skills):
- Background in office administration, logistics, accounting, or a similar administrative function.
- Working knowledge of Accounts Payable and/or Accounts Receivable.
- Strong computer skills with the ability to learn new software and business systems quickly.
- Confidence working with Microsoft Office, particularly Excel, Outlook, and Word.
- Familiarity with ERP or accounting software is considered an asset.
- Knowledge of payroll, procurement, or logistics coordination is considered an asset, but is not required.
