Our Calgary location is seeking an experienced Accounts Payable Specialist to support our diverse operations. This is a full-time, in-office position with a temporary one-year contract.
Job Description:
Reporting to the Accounts Payable Supervisor, the Accounts Payable Specialist is responsible for the timely and accurate processing of accounts payable transactions and supports the achievement of departmental objectives and financial controls.
Responsibilities:
- Process invoices and employee expense reports accurately and in a timely manner within the Company's accounting system.
- Verify appropriate approvals, supporting documentation, and compliance with established purchasing and expense policies.
- Match purchase orders, receipts, and invoices, identifying and resolving discrepancies as required.
- Review invoices and expense reports for accuracy, completeness, and proper general ledger coding.
- Investigate, reconcile, and resolve vendor and invoice discrepancies in a timely manner.
- Reconcile vendor statements and follow up on outstanding items to ensure account accuracy.
- Respond to vendor and internal stakeholder inquiries regarding invoices, payments, and accounts payable matters.
- Maintain accurate vendor records and supporting documentation in accordance with company procedures.
- Assist with accounts payable month-end activities, reporting requirements, and audit requests as assigned.
- Protect the confidentiality and integrity of financial information and business records.
- Adhere to established internal controls, accounting procedures, and company policies.
- Document, maintain, and continuously improve accounts payable processes and procedures.
- Build and maintain positive working relationships with vendors and internal stakeholders through professional and responsive service.
- Maintain a tidy and orderly work area exhibiting pride in work performance and contributing to a healthy and safe work environment.
- Ensure exceptional, courteous, and respectful customer service.
- Comply with and participate in the Company’s Health & Safety and Quality programs and initiatives.
- Perform any other duties as required.
Experience and Qualifications:
- Completion of an Accounting Diploma, Business Administration Diploma, or an equivalent combination of education and experience preferred.
- Minimum three (3) years of accounts payable or related accounting experience.
- Experience working with ERP systems and accounts payable automation tools, preferably Microsoft Dynamics NAV (Navision) or NetSuite.
- Knowledge of accounts payable principles, invoice management processes, budgets, and internal controls.
- Proficient in Microsoft Excel and other Microsoft Office applications.
- Proven ability to accurately calculate, post, reconcile, and manage accounting transactions.
- Strong attention to detail and a high degree of accuracy.
- Excellent analytical, organizational, planning, and prioritization skills.
- Strong verbal and written communication skills.
- Demonstrates professionalism, accountability, and a commitment to continuous improvement.
- Able to work both independently and collaboratively as a productive member of the EFC Team.
