Service & Install Coordinator

Legacy Heating & Cooling is one of Alberta’s fastest-growing HVAC & Plumbing contractors, delivering quality service and installations with a strong focus on customer satisfaction. We are seeking a Service & Install Coordinator to support our team and ensure efficient scheduling and execution of service and installation work.
The HVAC Service & Install Coordinator is accountable for overseeing the scheduling and coordination of service technicians and install crews. You must be able to effectively communicate with customers, maintain a high level of professionalism, and quickly resolve scheduling conflicts. Your attention to detail and ability to prioritize will be key to maintaining efficiency and meeting service timelines.
Key Responsibilities
- Schedule and coordinate Service Technicians for emergency calls, repairs, maintenance, and system diagnostics
- Schedule and coordinate Installation Crews for equipment installs, retrofits, and replacements
- Prioritize service calls based on urgency and customer needs
- Ensure all scheduled jobs are completed on time to meet customer expectations
- Provide the shop adequate time to order equipment and prepare materials for upcoming installs
- Utilize our customized scheduling software to manage daily operations
- Communicate with customers regarding appointment times, updates, and job completion
- Work closely with field staff to address scheduling conflicts and job requirements
- Ensure accurate job tracking and communicate completed work to accounting for invoicing
- Assist with permits and inspections where required
- Monitor labor efficiency, materials, and overall job performance in line with company expectations

- Excellent communication skills with customers, management, and field staff
- High attention to detail and strong organizational skills
- Basic understanding of HVAC, plumbing, and mechanical systems is an asset
- Ability to work as part of a team while maintaining professionalism in all interactions

- Positive attitude with a willingness to learn and grow
