Office Assistant – Student Services / Guidance

St. Joseph-Scollard Hall Catholic Secondary School (SJSH) is seeking a highly organized, student-centered Office Assistant to join our Student Services / Guidance team. This position provides essential support to the Student Services / Guidance Office, contributing to the delivery of comprehensive services for students, parents/guardians, and staff within a collaborative school environment.
Duties and Responsibilities:
- Serve as the first point of contact for the Student Services / Guidance Office, by greeting students, parents/guardians, visitors, and staff in a professional, respectful, and welcoming manner.

Maintain departmental correspondence and calendars, respond to phone, email, and in-person inquiries, and refer matters as appropriate.

Provide information to students and families regarding course selection, graduation requirements, and post-secondary pathways and application processes.

Deliver exceptional customer service to school stakeholders, while maintaining confidentiality and discretion.

Support the daily operations of the Student Services / Guidance office.

Assist with the registration of students, including preparing and collecting required documentation, creating and updating student files, entering registration, withdrawal, transfer, demographic, and program information into the student information system, and supporting related follow-up processes with accuracy and attention to detail.

Maintain accurate and confidential student records, including Ontario Student Records (OSRs), registrations, withdrawals, transcripts, credit counselling histories, and related documentation in compliance with board policies and Ministry requirements.

Prepare, file, retrieve, transfer and update OSR documentation, including responding to OSR requests, processing transfers, and maintaining organized active and archived files.

Prepare and process transcript requests, academic reports, and credit counselling checks for students, staff, and post-secondary institutions.

Work cooperatively with Guidance Counsellors, teaching staff, school administration, and external contacts, including colleges, universities, and community services, as required.

Assist with the preparation and distribution of course calendars, course selection materials, report cards, transcripts and other official documentation.

Support coordination of annual activities and events including course selection periods, student orientation, graduation and career fairs.

Maintain office organization, including inventory management and ordering of supplies
Mandatory Requirements:

Two-year post-secondary diploma in Office Administration, Business or related field.

A minimum of three (3) years of experience in a fast-paced office environment.

Advanced proficiency in Microsoft Office Suite applications (Word, Excel, Outlook, Teams, SharePoint, PowerPoint).
- Excellent interpersonal, written, and verbal communication skills.
- Proven ability to organize work, respond to competing demands, and work independently within established procedures.

Strong attention to detail and accuracy in data entry and recordkeeping.

Ability to handle confidential information with tact, discretion, and sound judgment.

Demonstrated ability to work collaboratively in a team environment and actively support a positive school community.
