POSITION TITLE: Scheduling Administrator
PROGRAM: Operations – Supportive Living
POSITION TYPE: Permanent, Full-time
HOURS OF WORK: 35 hours per week, Wednesday – Sunday (2:30pm – 10:00pm)
Additional hours will be required during peak times, which may require an adjusted work schedule in order to meet deadlines.
POSITION SUMMARY: The scheduler is responsible for preparing schedules and maintaining appropriate frontline staffing levels within our Supportive Living program. The Administrator possesses a positive attitude, is a reliable team-player, demonstrates excellent communication skills, solid customer service skills, efficient time management skills, strong attention to details and the ability to multi-task.
REPORTS TO: Program Manager, Operations – Post Discharge, Supportive Living & Alternative Living Care
KEY SERVICE RESPONSIBILITES AND SPECIFIC ACCOUNTABILITIES
- Manage staff scheduling supply and demand using workforce management systems (e.g., UKG / scheduling software).
- Coordinating the schedules to ensure proper coverage for the Supportive Living Staff, including late, appointments, sick, vacation and wellness, on call coverage, etc.
- Track and manage time-off requests in alignment with operational needs.
- Reviewing and verifying timesheets against current schedules.
- In coordination with Human Resources, arrange orientation and cross-training shifts for new staff and provide guidance on scheduling procedures and best practices.
- Working closely with the HR to ensure that staff have up to date training to pick up shifts
- Assisting with additional program administration, scheduling meetings within team, monthly and quarterly.
- Participating in community liaison meetings as required.
- Working collaboratively in a fast pace environment; using critical thinking to best accommodate the scheduling needs of the agency and the client population we serve.
- Providing excellent customer service by conducting call backs and responding to emails or texts in a timely fashion.
- Other duties as required.
QUALIFICATIONS AND SKILLS
- A university degree or diploma in human services area and/or an administrative and scheduling background.
- Successful candidate will have previous experience in calendar management including managing time and staff to ensure shifts are filled.
- Advanced proficiency in Microsoft Outlook, Word, Excel, and/or other calendar management or scheduling software programs is needed.
- Able to work effectively and efficiently in a deadline driven environment.
- Flexible and adaptable to support our supportive living 24/7 operations.
- Strong time management skills.
- You have worked in the mental health field for over two (2) years and have a deep commitment to and understanding of the recovery model.
- You demonstrate deep respect for the teams you support, your peers and community partners.
- You have an outgoing, friendly, and extroverted personality.
- Must be detail oriented, proactive mindset in order to stay steps ahead of calendar changes.
- Team player, self-motivated, and able to take direction.
- Possess strong critical thinking, sound judgement and problem-solving skills.
- Previous experience working in an interdisciplinary setting.
- A valid driver’s license and access to a reliable vehicle is required.
