Job Overview
We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will be responsible for managing daily administrative tasks, supporting office operations, and providing exceptional customer service. This role requires strong computer skills, proficiency in office software, and the ability to handle multiple responsibilities efficiently. Experience in medical or dental office settings is a plus, but not required. The Office Administrator will play a key role in maintaining a professional and welcoming environment for clients and staff alike.
Responsibilities
- Manage front desk operations, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
- Perform data entry, filing, and record-keeping using Microsoft Office, Google Workspace, and QuickBooks
- Handle appointment scheduling and coordinate calendars for staff and clients
- Provide customer support through phone etiquette and effective communication skills
- Assist with bookkeeping tasks, including invoicing and billing processes
- Maintain organized office files both digitally and physically
- Support administrative functions such as proofreading documents, managing correspondence, and preparing reports
- Support medical or dental office functions as needed, including patient check-in/out and insurance documentation
- Ensure the office remains organized, clean, and well-stocked with supplies
- File Management.
- Court filings, serving court docs and in-person Court attendance.
- Any experience in Family Law will be an asset.
Requirements
- Proven clerical or administrative experience, preferably in a law firm setting
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook), Clio, Divorcemate, Google Workspace, QuickBooks, adobe and basic computer skills
- Strong organizational skills with attention to detail and accuracy in data entry and proofreading
- Excellent customer service skills with professional phone etiquette and the ability to handle multi-line phone systems effectively
- Ability to manage filing systems and perform administrative tasks efficiently
- Good typing speed for data entry and document preparation
- Ability to work independently with minimal supervision while maintaining a high level of professionalism
- Prior experience with medical or dental office procedures is a plus but not mandatory

Pay: From $18.00 per hour
