Job Summary:
The Service Coordinator/Dispatcher serves as the primary point of contact between customers and field teams, handling incoming calls, troubleshooting issues, and providing basic technical support. When needed, they schedule service work, clearly communicate job details to field personnel, and ensure all required information is provided. The role also involves accurately documenting work performed and tracking outcomes.
Key Responsibilities:
- Manage and monitor daily service requests, ensuring balanced workload distribution to suppliers.
- Handle customer inquiries via phone and email related to service, maintenance, billing, and operations.
- Create, track, and follow up on work orders to ensure timely completion and customer satisfaction.
- Prioritize requests, escalate issues when necessary, and maintain visibility on urgent tasks.
- Coordinate preventive maintenance scheduling, ensuring completion within required timelines.
- Follow up on quotes, approvals, and ensure timely execution of approved work.
- Monitor work in progress and confirm completion with supporting documentation.
- Schedule and coordinate activities with customers, technicians, and internal teams.
- Reconcile supplier invoices and provide administrative support to call center operations.
- Adapt to changing priorities and assist team members with daily operations and scheduling.
Qualifications:
- 3 – 5+ years of dispatch or service coordination experience.
- Strong customer service orientation with excellent communication (written and verbal) skills.
- Highly organized with the ability to manage schedules and prioritize tasks effectively.
- Proactive problem-solver with strong critical thinking and attention to detail.
- Skilled in active listening and clear documentation of actions and instructions.
- Reliable, adaptable, and able to perform well under pressure in fast-paced environments.
- Demonstrates professionalism, self-control, and accountability.
- Bilingual (English/French) is an asset.
The salary range is $50,000 to $80,000 per year. Actual salaries will vary based on factors such as education, experience, knowledge, skills, and abilities, as well as alignment with market data. The base salary is just one component of Ainsworth’s total compensation package, which also includes additional rewards and benefits such as short-term incentives and health insurance, among others.
