Job Overview:
Provides administrative support to the organization and serves as first point of contact for clients, visitors, community partners, and staff. Responsible for the day-to-day operation of reception services, telephone and electronic communications, records management, meeting coordination, and mail services while creating a welcoming, respectful, and inclusive environment for individuals accessing CMHA services.
Working within a community mental health setting, the Administrative Assistant will act with professionalism, judgment, discretion, and maintain confidentiality in accordance with privacy legislation and agency policies.
Experience and Knowledge:
- Minimum two years working in human services, health care or customer service field.
- Experience in a community-based, healthcare, mental health, or non-profit environment is also considered an asset.
Education: Minimum College certificate in administrative support services or equivalent.
Language: Bilingual (French and English) essential.
Responsibilities:
- Greet and assist visitors in a professional, welcoming and respectful manner.
- Answer, screen, and direct telephone calls in English and French.
- Provide general information regarding CMHA programs, services, supports, and community resources.
- Monitor visitor sign-in procedures.
- Respond to individuals experiencing distress by following established safety and escalation procedures.
- Provide administrative support to staff and departments across the organization.
- Assist with printing, scanning, document preparation, filing, and file management.
- Coordinate meetings, workshops, training sessions, and other events
Requirements:
- Must be able to legally work in Canada and provide proof of academic achievement.
- Must be able to provide proof of academic achievement.
- Must be able to provide a Police Records Check.
- Must be able to provide proof of vaccination status in compliance with agency policies.
