Job Summary
We are seeking a dynamic and detail-oriented Event Operations Executive to oversee the planning, coordination, and execution of various events. This role requires a professional with strong organizational and communication skills, capable of managing multiple tasks efficiently.
Responsibilities
- Develop and implement policies and procedures for efficient operations for events and festivals.
- Handle budgets, forecasting and resource allocation to meet strategic goals.
- Cultivate and maintain relationships with vendors and suppliers.
- Onboard, manage and support vendors for festivals and events.
- Negotiate contracts, manage payments and ensure vendors and suppliers are managed efficiently.
- Support site planning and placement pre-event and during events.
- Ensure quality assurance and communication standards are followed.
- Analyze data to identify process improvement opportunities and cost savings.
- Support supply chain processes and share frequent updates about plans and strategies.
- Report on operational efficiency and standards.
- Stay up to date on industry trends and best practices.
- Assist in operations tasks for all festivals and events pre, during and post.
- Maintain detailed organizational records of event logistics, contracts, and communications
- Handle on-site operations during events to address any issues promptly and efficiently
- Ensure compliance with safety regulations and health protocols at all times
Requirements
- Minimum 2 years of experience in marketing, events, or a related field
- Strong organizational and multitasking skills
- Excellent written and verbal communication skills
- Proficiency in CRM software and MS Office (particularly Excel)
- Experience with event coordination and logistics is an asset
- Ability to work flexible hours, including evenings and weekends as needed
- Exceptional communication skills for liaising with clients, vendors, and team members
- Strong organizational skills with the ability to manage multiple projects simultaneously
- Effective time management skills to meet deadlines in a fast-paced environment
- Experience in budgeting and financial management for events
- Ability to work under pressure while maintaining professionalism and attention to detail
Pay: $20.00 per hour
