We are seeking a highly organized and professional Administrative Assistant with a strong interest in supporting operations within the construction sector. Responsibilities
- Prepare, review, and format a range of documents, including correspondence, reports, proposals, and project materials
- Support project teams by completing accurate data entry, maintaining organized filing systems, and managing both digital and physical records
- Assist with project documentation requirements, including tracking submittals, updating logs, and ensuring project files remain current and properly organized
- Monitor office supply levels, coordinate purchasing needs, and support the smooth execution of daily office operations
- Contribute to administrative process improvements by identifying opportunities to enhance efficiency and streamline workflows
- Handle confidential and sensitive information with discretion and in accordance with company policies
Requirements
- Diploma, undergraduate degree, or certificate in Business Administration, Office Administration, or a related field
- Demonstrated experience in administrative, clerical, or coordination roles; experience within the construction industry or related sectors is considered an asset
- Strong written communication skills, with proven ability in grammar, proofreading, and preparing professional documents
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong computer literacy and the ability to learn new software and systems effectively
- Exceptional organizational skills and a high level of attention to detail
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment
- Professional demeanor with strong interpersonal and customer-service skills
- Ability to work independently while also collaborating effectively within a team
