Position Summary:
Serves as the primary resource for academic affairs administration within the Institute of Parasitology, supporting the Director and academic staff on academic matters and liaising with Faculty, University, and external stakeholders.
Primary Responsibilities:
Administers academic recruitment and appointment processes for faculty, course lecturers, teaching assistant, academic contractual and casual hires. Ensuring compliance with applicable collective agreements and University policies.
Administers academic staffing activities, including tracking key dates related to appointments, renewals, tenure and promotion, leaves, and status changes.
Provides guidance to academic staff and researchers on hiring processes and requirements related to academic and research personnel.
Prepares, reviews, and processes academic documentation related to recruitment, appointments, and academic dossiers, ensuring accuracy and adherence to institutional standards.
Administers onboarding processes for newly appointed academic staff, including preparation of appointment documentation and facilitation of required procedures.
Supports academic committees and meetings by preparing materials, recording proceedings, and following up on action items related to academic affairs.
Administers Immigration, Refugees and Citizenship Canada (IRCC) processes for LMIA-exempt categories, including preparation, review, and submission of employer documentation and ensuring compliance with federal and institutional requirements.
Acts as a resource for academic hosts and visitors by providing information, reviewing documentation, and facilitating required processes related to academic appointments and visits.
Liaises with Faculty, University, and external stakeholders to support the effective delivery of academic affairs processes and resolve non-routine issues.
Other Qualifying Skills and/or Abilities:
High level of interpersonal skills and demonstrated problem-solving and organizational skills, as well as resourcefulness.
Excellent communication, time management and writing skills; ability to take minutes at meetings.
Ability to take initiative, think creatively, and work independently on projects.
Ability to perform under pressure and carry out simultaneous projects.
Demonstrated ability in identifying and implementing process improvements.
Solid proficiency with use of computer tools such MS Office, basic databases, Workday, Minerva, Banner SIS and FIS.
Prior knowledge of the IRCC employer portal, an asset. Experience with processing temporary work permit applications (employer portion) in the LMIA-exempt categories, an asset.
English, spoken and written; French spoken and read.
