JOB PURPOSE
The Customer Service Coordinator is a hands-on, detail-oriented role responsible for accurate sales order entry, clear customer communication, and precise coordination between the order desk, production floor, and shipping team. This position operates in a fast-paced food manufacturing environment where accuracy, timeliness, and process discipline are critical.
DUTIES & RESPONSIBILITIES
Customer Communication
- Serve as a primary contact for customers regarding orders, confirmations, changes, and delivery details
- Communicate clearly and professionally by email and phone in a time-sensitive environment
- Escalate order issues or exceptions promptly and accurately to appropriate internal teams
Sales Order Data Entry & Accuracy
- Accurately enter customer sales orders into the ERP system based on purchase orders and customer requirements
- Validate all order details including item numbers, quantities, pack sizes, pricing, ship dates, and customer instructions
- Make timely and accurate updates for order changes, cancellations, or corrections
- Maintain a high level of attention to detail, recognizing that order accuracy directly impacts production and customer satisfaction
Production & Internal Coordination
- Prepare and communicate clear, accurate order information to the production and planning teams
- Flag priority orders, special handling instructions, and customer-specific requirements
- Support smooth handoff between the order desk and production floor to minimize errors and rework
Shipping & Documentation
- Prepare shipping documentation such as packing slips, bills of lading, and customer-specific paperwork
- Ensure shipping details align with customer routing guides and internal logistics requirements
- Coordinate with warehouse and logistics teams to support on-time, accurate shipments
Systems & Reporting
- Use Excel to support order tracking, reconciliations, and basic reporting
- Maintain clean, accurate data in the ERP system at all times
- Follow established SOPs and data entry standards consistently
QUALIFICATIONS
Education, qualifications, special training & experience required:
- 2+ years of experience in a customer service, order entry, or order coordination role within a manufacturing environment
- ERP-based data entry experience is mandatory (manufacturing or food industry ERP strongly preferred). Experience using Microsoft Dynamics 365 Business Central (asset, not required)
Other knowledge & skills:
- Strong working knowledge of Microsoft Excel (filters, sorting, basic formulas)
- Demonstrated ability to work accurately in a high‑volume, fast‑paced environment
- Excellent attention to detail and data accuracy
- Strong written and verbal communication skills
Pay: $20.00-$23.00 per hour
