About the Opportunity
Our client, a well-regarded business law firm in Toronto, is seeking a highly organized and detail-oriented Legal Assistant to support a group of securities lawyers on a temporary 8-12 week contract. The firm is known for providing practical, business-focused legal advice across corporate, securities, and transactional matters, including public and private financings, M&A transactions, and ongoing regulatory compliance.

Key Responsibilities

Provide comprehensive administrative support to up to three lawyers, ensuring timely execution of legal and business priorities

Manage daily docketing, time entry, billing, and client invoicing

Maintain and reconcile trust ledgers and assist with trust transactions and disbursement reporting

Draft, format, and proofread legal documents and correspondence

Manage calendars, schedule meetings and filings, and track key deadlines

Organize and maintain electronic document management systems in compliance with firm and Law Society of Ontario standards

Coordinate with internal teams, clients, and external counsel to support file progression

Oversee client intake and new matter setup, including conflict checks, engagement documentation, and KYC/AML requirements

Prepare and file corporate documents under the OBCA and CBCA, including incorporations, amendments, and annual filings

Maintain corporate records, including minute books, share registers, and director/officer records

Support accounting functions, including accounts payable/receivable, HST tracking, expense reports, and coordination with external accountants

Assist with transaction closings, including preparation of closing agendas, checklists, and closing binders (physical and electronic), and management of post-closing deliverables

Qualifications

Post-secondary diploma or certificate in Legal Assistant, Legal Office Administration, Law Clerk, or a related program from a recognized Canadian institution

Additional coursework in legal accounting, trust accounting, or corporate procedures is considered an asset
Skills & Experience

Proficiency with practice management software (e.g., Clio) for docketing, billing, and trust accounting

Strong Microsoft 365 skills (Word, Outlook, Excel, Teams), including advanced formatting and document management

Demonstrated ability to manage multiple calendars, deadlines, and competing priorities

Solid understanding of corporate legal procedures, law office protocols, and confidentiality standards

High attention to detail, strong organizational skills, and ability to work under pressure during peak periods (e.g., month-end, deal closings)

Excellent written and verbal communication skills with a strong client-service mindset
-
Proven ability to work collaboratively in a team-based environment
