We are seeking an outgoing, detail-oriented, efficient person to join our amazing virtual Administrative Team in providing support to patients at our multi-disciplinary virtual clinic. The ideal candidate will have administrative experience and be adept at prioritizing, multi-tasking and have a positive attitude. This candidate will also be willing to learn and grow with us!
This is a casual, part-time position that is 100% virtual. We are currently looking for someone with flexible available for daytime and evenings who can check emails + answer live calls/texts to support our patients and staff.
To succeed in this role:
You will rock this role if you possess excellent communication skills, patience, customer service and the ability to lead and promote the vision of the clinic. You must be able to stay extremely organized, thinking 10 steps ahead, and the ability to see the big picture with an entrepreneurial mindset. You must also have a passion for helping others as you will be communicating with our clients and be technologically savvy. Familiarity/prior experience with Jane App is an asset.
Qualifications:
- 2-3 years of experience in Client Care and Customer Service (preferably in a medical office at the front desk)
- Psychology undergraduate/graduate students and graduates are welcome as long as you have experience with admin assistant/customer service roles!
Responsibilities
- Supporting psychotherapists, social workers, naturopathic doctors and registered dietitians with client bookings, payments, administrating forms
- Client support: answering client calls and emails, processing payments
- Maintaining Quality Assurance (following up to payments, securing payment information, uploading secure documents, managing the booking software including schedules and treatments offered)

- Strong communication skills
- Ability to communicate professionally and compassionately with patience, particularly when dealing with challenging clients
- Confidence to share ideas and constructive criticism to help us grow
- Juggling multiple projects and to-do’s simultaneously is no problem for you — you work well under pressure, meet deadlines and keep promises
- Tech savvy (familiarity with Jane app )
- An appetite for innovation and simplicity who is highly process oriented
- Working autonomously comes easy to you but you also love collaborating with a talented team
- Considerable experience using the Microsoft Office Suite, Google Drive Suite, Gmail, Dropbox, Windows in a work environment
- Knowledge of Jane app scheduling software is an asset
