We are looking for an efficient Human Resources (HR) Coordinator to undertake a variety of HR administrative duties. You will facilitate daily HR functions like keeping track of employee records and supporting the interview process. Your role also involves performing tasks with a focus to grow our company’s talent pipeline and improve our sourcing tactics.
The ideal candidate will have a broad knowledge of Human Resources as well as general administrative responsibilities. They will be able to work autonomously and efficiently to ensure the end-to-end running of HR projects and operations. To succeed in this role, you should be familiar using HR software and tools.
Ultimately, you should be able to contribute to the attainment of specific goals and results of the HR department and the organization.

Employee Records Management:

Maintain and update employee records and files, both in physical and electronic formats

Ensure the accuracy and confidentiality of employee data

Prepare and process employee documentation, such as contracts, offers, and termination paperwork

Assist in drafting offer letters and employment verification letters
-
Recruitment Support:
-
Assist in job posting and candidate sourcing
-
Conduct phone screenings, schedule interviews and coordinate the interview process, as needed
-
Assist with onboarding paperwork and new hire orientations
-
Update and maintain applicant tracking and databases
-
Benefits Administration Support:
-
Assist in benefits enrollment and changes
-
Help employees with basic benefits-related inquiries, escalating complicated situations to HR Management
-
Maintain benefits records and assist with claims processing
-
Support the open enrollment processes
-
HR Compliance:
-
Assist in ensuring compliance with employment laws and regulations
-
Help administer HR policies and procedures
-
Assist in maintaining records for compliance audits
-
Stay informed about changes in labour laws

Payroll Support:
-
Collaborate with the Payroll to ensure accurate and timely processing of payroll
-
Assist with timekeeping, attendance tracking, and generating reports
-
Address employee basic payroll inquiries, escalating complicated situations to HR Management
-
Employee Relations:
-
Handle basic employee inquiries and concerns
-
Escalate more complex issues to HR management
-
Maintain a positive employee experience
-
Training and Development:
-
Assist in organizing training sessions and workshops
-
Coordinate employee development programs
-
Track employee training and development progress
-
General Administrative Tasks:

Provide general administrative support to the HR department
-
Assist in organizing HR events and meetings
-
Providing administrative support to other departments, such as reports
-
Assist in ad-hoc HR projects, like collection of employee feedback

General Head Office clerical support such as making photocopies; receiving, sorting, and distributing mails, scans and emails documents; document filing; ordering and maintaining office supplies inventory; ordering and maintaining uniform inventory for all store locations; coordinate the bookings for company events, meeting spaces, and travel arrangements

Bachelor's degree in Human Resources or related field and/or equivalent experience

At least two (2) years related experience required

CPHR designation preferred

Experience with HR databases and HRIS systems (eg: ADP)

Prolonged periods of sitting at a desk and working on a computer

Must be able to lift up to 15 pounds at times

Occasional travel to different store locations
