Overview:
The Medical Office Assistant (MOA) in the Medical Imaging Department will support the radiologists and fellows in Neuroradiology section by ensuring smooth workflow and minimizing interruptions. The MOA will be the face and voice of the department, providing courteous and helpful service to doctors, patients, and other members of the healthcare team.
Responsibilities:
- Schedule meetings, including booking conference rooms, coordinating with attendees, preparing and distributing meeting invitations and reminders.
- Assist in developing and maintaining the Neuroradiology fellows’ schedule.
- Provide support for radiology rounds, including preparing materials and ensuring smooth communication flow.
- Organizing department events, such as holiday functions, hospital lunches, meetings.
- Support onboarding of new staff members by coordinating supplies, keys, and necessary requirements.
- Manage credentialing, licensing, and certification tracking for staff.
- Facilitate communication between clinicians, including relaying messages, coordinating consults, and directing inquiries appropriately.
- Maintain cleanliness and readiness of the radiology reading room, ensuring supplies are stocked (e.g.: disinfectant wipes, tissues, hand sanitizer, pager batteries).
- Provide general administrative support including copying, filing, correspondence preparation (e.g. letters of recommendation), data entry, and formatting PowerPoint presentations.
- Participate in special projects as required and proactively suggest workflow improvements.
Qualifications:
- Bachelor's degree preferred.
- 3-5 years of relevant experience in a medical or scientific research setting, or comparable technology-oriented business environment.
- Excellent written and oral communication skills.
- Proficient in Microsoft Office (Word, Outlook, PowerPoint and Excel); comfortable with scheduling and workflow software.
- Strong interpersonal and communication skills.
- Knowledge in Medical Terminology.
- Excellent organizational abilities with a high attention to detail.
- Comfortable learning new software and workflows. Knowledge of tools like Lightning Bolt, PACS, and NMH web paging is an asset.
- Maintain professionalism and confidentiality in a fast-paced environment.
