Key Responsibilities

· Inspect packaging thoroughly to ensure no components, small bags, loose stones, spare parts, or client materials are left behind.
· Identify damaged incoming packages, take clear photos, document the issue, and escalate concerns to Account Managers promptly.
· Date-stamp all incoming shipments immediately upon opening.
· Review logistics and client emails before booking items to help prioritize rush jobs and daily workflow requirements.
· Scan repair and custom items into the FileMaker database with extreme care to prevent scratches or handling damage.
· Route jobs to the appropriate Repairs or Custom department and deliver related emails or documentation to Account Managers.
· Provide laser engraving coverage when needed, including precise execution of inscriptions on client pieces.
· Verify every outbound job bag prior to packaging to confirm that the correct items are included.
· Audit outbound jobs against master packing slips and report discrepancies to the Invoicing Department immediately.
· Package outbound items securely in solid boxes, using protective layouts that prevent pressure, movement, or damage in transit.
· Maintain a clean, organized, and secure intake and shipping station while following company security, tracking, and workplace safety policies.
What We’re Looking For
· Exceptional attention to detail and accuracy in data entry, tracking, and physical item handling.
· Strong organizational skills and the ability to manage multiple priorities in a deadline-driven production environment.
· Comfort working with high-value, delicate, or luxury goods where precision and care are essential.
· Ability to follow detailed security, surveillance, packaging, and documentation procedures consistently.
· Clear communication skills and the confidence to escalate discrepancies, damaged packages, or workflow concerns promptly.
· Ability to maintain a clean, safe, and orderly work area.
· Willingness to be cross-trained on laser engraving equipment and provide production support as needed.
· Experience with FileMaker or similar database systems is an asset.
