Job Summary
We are seeking a highly organized and proactive Executive Assistant to support the CEO of our organization. The ideal candidate will serve as a key point of contact, manage complex schedules, and facilitate communication across departments. This role requires professionalism, discretion, and the ability to handle multiple priorities efficiently to ensure smooth daily operations at the executive level.
Duties
- Provide high-level administrative support to the CEO and Vice President.
- Manage complex executive calendars, meetings, travel arrangements, and schedules.
- Prepare, design, and edit professional PowerPoint presentations, pitch decks, and executive reports.
- Coordinate meetings, prepare agendas, record minutes, and follow up on action items.
- Draft, proofread, and manage executive correspondence and confidential documents.
- Coordinate special projects and support business initiatives across departments.
- Serve as the primary liaison between executives, clients, and internal stakeholders.
- Maintain confidentiality while managing multiple priorities in a fast-paced environment.
- Answer and direct incoming phone calls professionally, screen inquiries, take detailed messages, and ensure prompt communication with clients, vendors, and internal stakeholders.
- Manage the company's client portal by updating client information, maintaining accurate records, monitoring requests, and ensuring timely follow-up on client communications.
- Assist with office operations by coordinating supplies, vendor communication, administrative processes, and ensuring smooth day-to-day business activities.
- Conduct research and prepare summaries to support executive decision-making, meetings, presentations, and strategic initiatives.
- Monitor deadlines, priorities, and follow-up items to ensure commitments are completed accurately and on schedule.
- Assist with event planning and corporate activities including meetings, conferences, events, and executive engagements.
- Perform additional administrative, operational, and executive support duties as required to meet business needs and support company growth.
Qualifications
- Proven experience as an Executive Assistant or in a similar administrative role supporting C-level executives
- Exceptional organizational skills with keen attention to detail and ability to prioritize tasks effectively
- Strong written and verbal communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and calendar management tools; familiarity with project management software is a plus
- Ability to handle confidential information with integrity and professionalism
- Excellent problem-solving skills with a proactive approach to anticipating needs
- Bachelor’s degree preferred but not required; relevant experience will be considered in lieu of formal education
- Strong interpersonal skills with the ability to work independently as well as part of a team
Pay: $20.00-$25.00 per hour
