The Sales Coordinator/Administrator will manage customer tender submissions including preparing quotations and coordinating with various departments to ensure timely and accurate proposal responses. The Coordinator/Administrator is the central point of contact to support new business development efforts while securing new business opportunities.
Responsibilities
- Review and analyze RFQs, RFPs, tenders and bid opportunities
- Coordinate internal meetings to review requirements, scope, timeline and deliverables
- Gather pricing, technical details, service capabilities and supporting documentation
- Prepare, compile and submit complete tender responses
- Maintain tender calendars, submission schedules and bid tracking reports
- Coordinate with internal departments to prepare quotations, ensuring accuracy and maintaining a competitive advantage
- Maintain quotation templates, pricing records and supporting documentation
- Support leadership with reporting on open tenders, pipeline activity and bid status
- Assist with customer onboarding documentation and contract administration
- Maintain CRM records including customer information and sales documentation
- Provide clarification and communication to customers for submission follow-ups
- Assist with the preparation of sales reports and executive summaries
- Occasional outbound sales calls, including cold calling, customer outreach and follow-ups
Qualifications
- Post-Secondary education in Business Administration or related field
- 3+ years in sales administration, coordination or tender management
- Proven experience responding to RFPs, RF Qs, and formal tender submissions
- Strong understanding of pricing and quotation preparation
- Excellent written and verbal communication skills
- Demonstrated attention to detail and deadline management
- Experience working with a CRM and/or ERP submission
- Capable of overseeing multiple deadlines in a fast paced environment
- Strong problem solving and critical thinking skills
