Job Purpose:
We are seeking a reliable, detail-oriented individual to join our law office on a part-time basis. This role will focus on administering the file closing process, organizing closed files, and assisting with file destruction in accordance with firm procedures and applicable confidentiality requirements. Additionally, the successful candidate will learn our billing process and act as backup and support for the billing department during planned vacations and busy periods.
Key Responsibilities:
- Learn the Billing process and serve as backup and support for Billing department.
- Administer and maintain the firm’s file closing process from start to finish.
- Organize, label, index, and store closed physical and electronic files according to office procedures.
- Prepare files for storage, retention, or destruction based on approved timelines and instructions.
- Assist with file destruction, including tracking, documenting, and confirming destruction activity.
- Maintain accurate records of closed, stored, and destroyed files.
- Handle confidential client and firm information with discretion and care.
- Provide general administrative support related to records management as needed.
Requirements:
- Strong attention to detail and accuracy.
- Excellent organizational and time-management skills.
- Ability to follow established procedures and maintain consistent records.
- Comfortable working with paper files, electronic records, and basic office systems.
- Professional, dependable, and able to maintain confidentiality.
- Previous law office, records management, or administrative experience is an asset but not required.
Work Schedule: This is a part-time position of 24 hours per week. The specific schedule will be discussed with the successful candidate.
