Job Overview
Tumbleweed Distillery is a rapidly growing distillery based in Osoyoos, BC, producing a wide range of spirits and pre-mixed cocktails. We're looking for an Office Manager to keep our office, finances, and compliance running smoothly as we scale. In this role, you'll manage day-to-day administration and bookkeeping, support invoicing and payments, and maintain the records needed for CRA excise reporting, federal distillery licensing, and BC LDB/LCRB/AGLC compliance. You'll also help coordinate inventory and orders, support our HR admin, and be a friendly first point of contact for customers and partners. We're looking for someone with strong organizational skills, office administration experience, and — ideally — some familiarity with regulated industries like alcohol, food & beverage, or manufacturing.
Key Responsibilities
Office & Administration
- Manage day-to-day office operations and paperwork
- Maintain organized digital and physical filing systems. File all receipts/paid bills in Monthly expense folder
- Create new expense folder for month
- Order office supplies and manage office service providers
- Daily -answer emails, phone calls, and general business inquiries Support internal communication across teams
- Check tasting room/washroom/office is clean/orderly/neat and fully stocked with product
- Laise with Ownership re front of house and production and assist as needed
Accounting & Financial Support
- Prepare and send invoices; track customer payments
- Process accounts payable and manage basic bookkeeping
- Get approved timesheets to book keeper for processing
- Track expenses and support budgeting (breakdown of where income is earned ex. Lounge, BC liquor etc.)
- Work with bookkeepers and accountants as needed to provide supporting docs as receipts
Regulatory & Compliance Support (BC & Canada)
- Maintain accurate records required by the Canada Revenue Agency (CRA) for excise duty reporting
- Assist with monthly excise duty filings and inventory reconciliation
- Maintain records for federal distillery licensing and renewals
- Support compliance with BC Liquor Distribution Branch (LDB) and Liquor & Cannabis Regulation Branch (LCRB) requirements as well as AB Liquor branch AGLC
- Prepare documentation for inspections, audits, and regulatory reviews
- Ensure compliance records are complete, current, and accessible
- Renewal of interior Health License
Inventory & Order Coordination
- Track finished product inventory, packaging materials, and office supplies
- Website updates/as required
- Assist with sales order processing and shipping documentation
- Coordinate with production and sales teams to ensure accurate order fulfillment
- Support reporting for provincial and federal inventory requirements
Human Resources Support
- Maintain employee personnel files and onboarding documents
- Assist with hiring administration and scheduling
- Track training, safety, and certification records
- Support workplace policies, including health and safety documentation
Customer & Sales Support
- Check and Process online orders
- Respond to customer and wholesale partner inquiries
- Support tasting room administration and POS reporting (if applicable)
- Assist with sales reporting and documentation for provincial liquor sales
Skills & Experience
- Experience in an office administration or office management role
- Comfortable with bookkeeping, invoicing, spreadsheets, and email
- Strong organizational skills and attention to detail
- Ability to manage multiple priorities and deadlines
- Experience in a regulated industry (alcohol, food & beverage, manufacturing) is an asset
- Familiarity with CRA excise reporting or BC liquor regulations an asset
This is an in person role 5 days a week from 9:00 to 4:30pm Tuesday - Saturday.
