This is an exciting time to join CPAIPW. As our organization continues to grow, we are looking for an experienced Executive Assistant to become a trusted partner to our CEO and a key support to our Board of Directors.
About the Role
The Executive Assistant serves as a strategic partner to the CEO, providing high-level administrative, operational, and governance support while helping ensure organizational priorities continue moving forward. This individual will act as a central point of coordination for the CEO, Board of Directors, leadership team, and key external stakeholders.
The successful candidate will be highly organized, proactive, resourceful, and comfortable taking ownership. They will anticipate needs, follow up on commitments, keep priorities on track, and help create the structure and accountability that allows the organization to operate effectively.

- Governance processes, Board administration, and organizational priorities run smoothly and efficiently.
- Board communications, requests, materials, and follow-up activities are coordinated professionally and proactively.
- Organizational priorities stay on track through proactive follow-up, strong coordination, and consistent accountability.
- Stakeholders experience responsive communication, exceptional organization, and dependable support.
Key Responsibilities
CEO Support
- Manage the day-to-day operations of the CEO's office.
- Coordinate calendars, meetings, travel, correspondence, reports, presentations, and strategic initiatives.
Board of Directors Support
- Coordinate Board and committee administration.
- Prepare Board packages, agendas, minutes, governance records, and action item tracking.
- Support Board recruitment, onboarding, orientation, and AGM activities.
Leadership Team Support
- Coordinate leadership meetings, agendas, minutes, and reporting activities.
Event Coordination
- Coordinate conferences, webinars, sponsorship activities, and member engagement events.
Administrative & Operational Support
- Support office operations, vendors, internal initiatives, and confidential organizational matters.
Qualifications & Experience
- Minimum 5 years supporting senior executives, Boards of Directors, or leadership teams.
- Demonstrated exposure to Board governance processes, Board materials, minutes, and committee meetings.
- Strong understanding of governance practices, confidentiality, and deadlines.
- Exceptional organizational, communication, and time management skills.
- Strong proficiency with Microsoft Office Suite.
- Experience with Board management software is considered an asset.

Compensation & Work Environment
- Salary: $70,000 - $80,000 annually
- Participation in the company-wide short-term incentive plan
- Comprehensive benefits package
- Full-time position, 37.5 hours per week
- In-office
- Occasional travel required (paid), primarily to support Board meetings in Vancouver

Pay: $70,000.00-$80,000.00 per year
