COORDINATOR, EDUCATION & EVENTS

PRIMARY CONTRIBUTION
The Coordinator, Education & Events is a pivotal part of organizing and carrying out OPPI’s educational programming. This role assists in the planning and executing the logistics for a diverse range of learning opportunities and events, ensuring every offering is efficient, impactful, and aligned with OPPI’s commitment to delivering a dynamic Continuous Professional Learning (CPL) to their members. From the annual conference and one-day forums to virtual and in-person workshops at OPPI headquarters and across the province, the coordinator assists in all event logistics to support OPPI’s strategic goals.
TEAM STRUCTURE
The Education & Events Department consists of Director, Specialist, and Coordinator roles.
Director
- Scope of Responsibilities: Director oversees the department, setting strategic goals and ensuring alignment with the organization's overall objectives. Their focus is on long-term visioning and planning, department budgets and annual goal setting, fulfilment of internal department requests for communication support, policy development, and ensuring the department meets its strategic objectives. Direct report to Director of Operations.
Specialist
- Scope of Responsibilities: The Specialist handles the day-to-day operations of the department, implementing the strategies and policies set by the director. Their focus is on operational efficiency, project implementation, team management, and achieving short- to mid-term goals. Direct report to Director.
Coordinator
- Scope of Responsibilities: The Coordinator is responsible for specific tasks or projects within the department, often handling logistics, schedules, and technical functions. Their focus is on ensuring that specific activities or projects are completed according to established timelines and deadlines. Direct report to Director.
PRINCIPAL RESPONSIBILITIES & DUTIES
Strategy/Planning
· Participate in site visits for the main conference/symposium venue and secondary venues for social events to support logistical and strategic event planning.
Manage/Control.
· Collect, compile, and maintain attendance, registration, and engagement data for educational programs, workshops, webinars, conferences, and events, including annual program statistics and records to support performance evaluation, strategic planning, and future decision-making.
· Perform accurate and timely manual entry of CPL credits into AMS for all OPPI events, ensuring data integrity and compliance with organizational standards.
· Support the coordination and execution of conference logistics, including assisting with venue arrangements, audiovisual needs, vendor communication, registration processes, and on-site event support to help ensure a smooth and successful attendee experience.
· Collaborate with the Marketing & Communications team on program marketing—including website content weekly e-blasts.
· Ensure timely uploading and sharing of relevant content (e.g., speaker slide decks, webinar recordings) with members.
· Maintain the caterer database and manage catering orders for in-person workshops, committees, and staff meetings to ensure smooth food delivery.
· Maintain and update the Education & Events Library and Digital Learning Platform by uploading, organizing, and archiving webinar recordings, conference sessions, presentations, toolkits, and other learning resources to ensure members have access to a current, well-organized, and valuable knowledge repository.
· File and organize all financial documents in the departmental database, including but not limited to estimates, contracts, and invoices.
· File all workshop and event materials—including event evaluation, speaker slide decks, recorded sessions, and conference and symposium documents—in designated digital folders and shared drives to ensure proper archiving and easy internal access.
Execution/Delivery
· Support the planning and delivery of virtual and in-person programs by coordinating registration, venue and platform logistics, technical and A/V requirements, food and beverage services, attendee engagement, and on-site or live-session support to ensure a seamless and professional participant experience.
· Respond to conference-related inquiries received by phone or email, including those sent to the conference and education shared inbox, by providing timely, accurate, and professional support to members, facilitators, and customers.
· Understand the Education & Events team’s ownership of the annual conference and actively support across all areas, taking full responsibility for delegated tasks to ensure successful execution and an exceptional member experience.
· Engage in all customer communications to support seamless program execution and accurate data collection, including but not limited to registration reminders, post-event evaluations and feedback, and facilitator and volunteer coordination.
· Support District volunteer committees with event logistics and marketing to help deliver local events, strengthen professional connections, and connect local activities with province-wide OPPI initiatives.
Designated Assignment
· Primary owner of the Digital Learning Platform, overseeing all related elements.
REQUIRED SKILLS & QUALIFICATIONS
● Post-secondary degree/diploma, with preference for event planning and/or business administration.
● Exceptional customer service skills and customer engagement experience.
● Good working knowledge in Microsoft Office Suite, with good overall technical proficiency.
● Experience in Google Analytics is preferred.
● Experience with database management and maintaining organized digital records.
● Skilled in data analysis to inform planning, and reporting.
● Excellent time management and organizational abilities.
● Proven ability to multi-task in a fast-paced, deadline-driven environment.
● Strong writing and grammar skills for professional communication and documentation.
● Demonstrated critical thinking and problem-solving capabilities.
● Attention to detail in inventory tracking and managing event materials.
● Willingness to travel for events and site visits, as needed.
● Drivers License and access to a car preferred.
● Comfortable working in a hybrid environment (remote/in-office).
● Experience in executing live events, both virtual and in-person.
TASK & TIME ALLOCATION
● 80% Execution and Delivery (running logistics for workshops, webinars, summits, conferences and DLT events, working with vendors and facilitators, processing vendor invoices, ordering food and beverage for events)
● 10% Strategy & Planning (development of Education calendar, strategic planning for events, attendance at conferences/seminars, cross-departmental meetings)
● 10% Reporting and Assessment (generation of reports and metrics on educational offerings performance, audience reach, success of communications, action planning based on measured performance)

Direct Reports: 0
Physical / Environment: Office
75% Stationary Position, operate a computer / phone.
25% Move/Traverse, attend internal and external meetings.
Hours of Work: Core business hours of the Institute are Monday to Friday, 8:00 am to 6:00 pm. Staff are expected to work 35 hours per week within these core business hours.
Compensation:
● Annual salary paid semi-monthly.
● OPPI Perk Days – Closed for Christmas Holiday period and extra day off on long weekends.
● Eligible for health benefit after 3 months, including dental, vision, paramedical and medicine.
● RRSP matching program after 6 months
● Travel reimbursed at $0.55/km.
● PTO annual allowance begins with 17 days per year

Pay: $40,500.00-$49,500.00 per year
