What will you work on?
This position works collaboratively with Nursing, Medical Device Reprocessing and BC Clinical and Support Services (BCCSS, formerly HSSBC) and is responsible for completing requisitions for minor and major equipment, supplies and services for Surgical Services (and other designated departments/areas as required by the facility). Ensures stock levels are maintained, reports inventory issues to Manager (or designate). Contacts BCCSS and/or vendor representatives related to inventory issues. Maintains procedure manuals, reference catalogues/materials and other forms of communication/documentation related to inventory and logistics for Surgical Services (and other designated departments/areas as required by the facility). Performs other related clerical duties.
1. Maintains established levels of non-stock and consignment inventory for surgical services (and other designated departments/areas as required by the facility) by reviewing and evaluating departmental inventory activity. Requisitions inventory/non-inventory surgical supplies/equipment and various other services/supplies/equipment (such as Biomed/Plant requisitions, equipment repairs, pharmacy orders, etc.) using computerized information systems in accordance with established policies and procedures. Responds to inquiries on outstanding requisitions and related requests for information.
2. Requisitions loaner instruments and prostheses for surgery from vendors and/or BCCSS as directed. Maintains perpetual inventory records of received items and invoices for consumables used in surgery (and other designated departments/areas as required by the facility); Verifies inventory levels by performing physical inventory counts as required. Returns loaner equipment to vendors and/or BCCSS in accordance with established policies and procedures.
3. In conjunction with BCCSS personnel, monitors shipping dates and resolves shipping problems and expedites late deliveries of supplies/equipment by following up with BCCSS and/or suppliers if goods do not arrive on time. If unable to get goods in time for OR date, alerts the OR Booking office and Manager (or designate) of the issue.
4. Investigates a variety of matters such as incorrect invoices, pricing problems, outstanding or backordered items and damaged goods. Follows up on back-orders and substitution items by contacting BCCSS, external suppliers and/or sales reps as required/necessary.
5. Maintains information systems related to tracking orders; identifies potential equipment/supply risks and provides feedback to Manager (or designate) and/or other designated personnel.
6. Arranges for product samples and/or trial and evaluation of supplies/equipment as directed. Collects evaluation documentation and provides summary to Manager (or designate), BCCSS and/or other designated staff.
7. Maintains supplies/equipment catalogues and relevant computerized records and provides information to Manager (or designate) and/or designated personnel/departments as requested; completes documentation as required for the maintenance and release of equipment.
8. Performs other related duties as assigned.
