Live-In Superintendent – High-Rise Apartment Building
Position Summary
The Live-In Superintendent resides on-site and is responsible for the daily operation, maintenance, safety, and resident support of a 112-unit high-rise apartment building. This role combines hands-on maintenance, customer service, and on-call emergency response, ensuring the property operates efficiently and maintains a high standard of living for residents. Reporting directly to Property One Management.
1. Residency Requirement
- Superintendent must reside in the designated on-site unit as a condition of employment
- Maintain the unit in good condition as it reflects the property standards
- Be visibly present and accessible to residents during working hours
2. Working Hours & Availability
- Standard working hours to be established (i.e. 8:00 AM–4:30 PM)
- Scheduled office hours for resident interaction
- Ability to work a staggered schedule
- On-call availability for emergencies outside regular working hours
- Respond to urgent issues within a defined timeframe (i.e. immediate or within 30 minutes depending on severity)
- Maintain a balance between availability and reasonable personal time (non-emergency boundaries respected)
3. Building Operations & Maintenance
Daily Responsibilities
- Conduct routine inspections of common areas, building systems, and grounds
- Perform minor repairs including plumbing, electrical, painting, and general upkeep
- Ensure building cleanliness and curb appeal are consistently maintained
- Monitor operation of HVAC, plumbing, elevators, and life safety systems
Preventative Maintenance
- Execute and track preventative maintenance schedules
- Maintain detailed logs for all inspections and servicing
- Coordinate seasonal maintenance and system changeovers
4. Work Order Management
- Receive and respond to resident maintenance requests
- Prioritize work orders based on urgency and impact
- Complete repairs efficiently or coordinate external contractors
- Maintain clear communication with residents on access and timelines
5. Emergency Response (Key Live-In Component)
- Serve as the primary on-site emergency contact after hours
- Respond to:
- Water leaks and flooding
- Fire alarms and system alerts
- Power outages
- Elevator issues (liaising with elevator contractor)
- Take immediate action to mitigate damage and ensure resident safety
- Contact emergency services and notify property management as required
- Complete detailed incident reports
6. Contractor & Vendor Coordination
- Schedule and supervise contractors working on-site
- Ensure compliance with building policies, safety requirements, and insurance
- Provide access to mechanical rooms, units, and service areas
- Verify work completion and quality
7. Cleaning & Building Upkeep
- Perform cleaning of common areas
- Maintain garbage and recycling rooms
- Ensure waste is handled properly and regularly
- Monitor and coordinate pest control services
8. Resident Relations
- Act as the primary point of contact for residents
- Provide professional, courteous, and responsive service
- Address complaints, concerns, and general inquiries
- Foster a positive community atmosphere
- Enforce building rules consistently and fairly
9. Move-In / Move-Out Coordination
- Schedule and oversee move-ins and move-outs with support from the Concierge
- Coordinate elevator bookings and protection
- Conduct unit inspections as required
- Ensure compliance with building procedures
10. Security & Access Control
- Monitor security systems including cameras and entry systems
- Ensure doors, locks, and access points are functioning properly
- Manage distribution and tracking of keys, fobs, and access devices
- Report suspicious activity and safety concerns
11. Administrative Responsibilities
- Maintain logs for:
- Maintenance activities
- Inspections
- Incidents and emergencies
- Track inventory of supplies and tools
- Assist property management with reporting and budgeting insights
12. Boundaries & Professional Expectations (Important for Live-In Role)
- Always maintain professional boundaries with residents
- Avoid non-emergency interruptions outside of working hours
- Ensure residents understand emergency vs. non-emergency situations
- Represent ownership/management professionally while living on-site
13. Seasonal Responsibilities
Winter
- Monitor snow removal contractors or perform clearing of walkways as required
- Ensure safe access to entrances and walkways
- Monitor for ice hazards and apply ice-melt as needed
Summer
- Maintain exterior cleanliness and landscaping oversight including grass cutting
- Inspect building exterior, balconies, and drainage systems
14. Health, Safety & Compliance
- Ensure compliance with all applicable safety regulations and codes
- Conduct routine safety inspections
- Maintain WHMIS standards
- Respond to and manage emergency situations
15. Tools & Equipment
- Proper use and maintenance of all tools and equipment
- Ensure safe storage of materials
- Report damaged or missing tools immediately

- High level of building cleanliness and maintenance
- Prompt and effective response to emergencies
- Strong resident satisfaction and communication
- Compliance with safety and operational standards
- Reliable on-site presence and accountability
