We are looking for a Client & Operations Concierge to join our team in a role that sits at the center of everything we do.

The role
This is not a receptionist role. This is not basic admin. You will be the first voice clients hear.
The right person for this role is organized, polished, commercially aware, and calm when four things are happening at once. You understand luxury service. You know how to speak to a high end client and make them feel completely taken care of. You take ownership without being asked.

Responsibilities
- Conduct structured discovery calls with inbound B2C clients, gathering move scope, property details, special items, access information, and timeline, then preparing a complete brief before handing off for quoting
- Identify the right service for each client based on the conversation, not just a checklist
- Serve as the named point of contact for clients throughout their entire move, coordinating with their interior designer, property manager, or building concierge as needed
- Manage ongoing communication with active B2B partners between jobs, including check-ins, scheduling coordination, and relationship maintenance
- Follow up on warm B2B accounts that have gone quiet and flag partner accounts at risk of going cold
- Monitor all active moves in real time through our CRM during move days, acting as the communication hub between road crews and clients
- Handle real-time operational issues that come up on road without escalating every small thing: building access conflicts, elevator bookings, client questions, ETA updates, schedule changes
- Work all outstanding quotes in our CRM, following up on cold leads with personalized outreach and surfacing high-value opportunities that need the founder's attention
- Conduct pre-move preparation calls with clients, reviewing the move plan, flagging access details, and briefing the ops lead before move day
- Keep all job data in CRM accurate and current across active jobs, incoming inquiries, and partner accounts
- Produce a weekly summary for the founder covering pipeline status, active job updates, and partner activity
Skills
- 2+ years in a client-facing role at a luxury, hospitality, or premium service brand (luxury hotel, high-end real estate brokerage, private concierge, premium logistics, or similar)
- Demonstrated ability to manage multiple things at once without losing composure or missing details
- Strong verbal communication: you can hold a professional conversation with a high-net-worth client or a B2B partner with equal confidence
- Comfortable making judgment calls independently without needing sign-off on every decision
- Familiar with CRM tools and comfortable learning new platforms quickly (we use HubSpot and our proprietary system)
- Excellent written communication: your emails and messages reflect the same care and polish as your calls
- Based in Toronto or GTA
