Job Summary
We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will handle a variety of clerical and administrative tasks, some bookkeeping tasks on quickbooks enteries ensuring smooth daily functioning. This role requires excellent communication skills, proficiency with office software, and the ability to manage multiple responsibilities efficiently. Experience with construction management, rental management works is must. Duties
- Manage front desk responsibilities, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks
- Maintain filing systems both electronically and physically, ensuring documents are organized and accessible
- Assist with bookkeeping and basic financial record keeping using QuickBooks and other accounting tools
- Support customer service efforts by addressing inquiries and providing support via phone or email
- Proofread documents for accuracy, clarity, and professionalism before distribution
- Coordinate appointments, schedule meetings, and manage calendars for staff members
- Handle administrative support tasks such as copying, scanning, faxing, and mailing documents
- Support medical or dental office operations if applicable, including patient record management and appointment scheduling
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong computer skills with the ability to learn new software quickly
- Experience with data entry, filing systems, and clerical procedures
- Excellent organizational skills with attention to detail
- Effective phone etiquette and customer support skills for front desk operations
- Ability to manage multi-line phone systems efficiently
- Knowledge of QuickBooks or bookkeeping experience is preferred
- Strong typing skills with high accuracy; ability to proofread documents effectively
- Previous administrative or office experience is highly desirable; medical or dental office experience is a plus
- Ability to work independently while managing multiple priorities in a fast-paced environment
Pay: $16.00-$22.00 per hour
