As our business continues to grow, we are seeking a reliable, motivated, customer-focused, and safety-conscious HVAC Inside Sales & Warehouse Associate to join our team in Richmond Hill, Ontario.
THE OPPORTUNITY
As our HVAC Inside Sales & Warehouse Associate, you will play an integral role in supporting our customers and daily operations. You will provide professional inside sales support by preparing quotations, processing customer orders, recommending products, and assisting contractors and dealers with their HVAC equipment and parts requirements. In addition, you will help maintain efficient warehouse operations by receiving shipments, organizing inventory, and preparing customer orders.
This position combines technical inside sales with warehouse responsibilities and requires someone who enjoys working with customers while also contributing to an organized, efficient warehouse environment.

RESPONSIBILITIES
Your responsibilities include:
- Respond promptly and professionally to telephone, email, online, and walk-in inquiries from contractors, dealers, builders, and service companies throughout Ontario.
- Prepare accurate quotations for HVAC equipment, replacement parts, accessories, and related products.
- Process customer orders accurately and efficiently while ensuring product availability and timely delivery.
- Build and maintain strong relationships with existing customers by providing exceptional customer service and product support.
- Follow up on quotations, customer inquiries, inactive accounts, and sales opportunities to generate additional business.
- Assist customers in selecting appropriate HVAC products, accessories, and replacement parts based on their requirements.
- Recommend suitable alternatives when requested products are unavailable or discontinued.
- Coordinate with purchasing, warehouse personnel, and outside sales representatives to ensure efficient order fulfillment.
- Maintain accurate customer information, quotations, sales activities, and communications within the CRM and order management systems.
- Stay current on HVAC equipment, manufacturer specifications, product updates, promotions, pricing, and warranty information.
- Assist walk-in customers and contractors at the sales counter in a professional and courteous manner.
- Receive, inspect, verify, and record incoming shipments for accuracy and quality.
- Pick, pack, stage, and prepare customer orders for pickup or delivery.
- Organize, maintain, and replenish warehouse inventory to ensure a clean, safe, and efficient work environment.
- Assist with loading and unloading deliveries while following safe material handling procedures.
- Perform regular inventory counts and promptly report discrepancies, shortages, or damaged products.
- Process product returns, warranty items, transfers, and inventory adjustments as required.
- Maintain a clean, organized, and safe warehouse in accordance with company policies and workplace safety standards.
- Perform other duties as assigned by Management, including occasional assistance at affiliated locations or special projects.
QUALIFICATIONS
The successful candidate will possess:
- Minimum two (2) years of inside sales, counter sales, customer service, or wholesale distribution experience, preferably within the HVAC industry.
- Previous experience working for an HVAC distributor, mechanical wholesaler, plumbing wholesaler, building supply company, or similar industry is strongly preferred.
- Working knowledge of residential and light commercial HVAC equipment, including heat pumps, furnaces, air conditioners, ductless systems, air handlers, thermostats, indoor air quality products, accessories, and replacement parts.
- Experience preparing quotations, processing customer orders, and supporting contractor or dealer accounts.
- Strong customer service and relationship-building skills.
- Excellent verbal and written communication skills.
- Strong organizational skills with exceptional attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency with Microsoft Office, including Outlook, Word, and Excel.
- Experience using CRM, ERP, or order entry software. Experience with Zoho CRM and QuickBooks is considered an asset.
- Ability to learn new products, systems, and technologies quickly.
- Ability to work independently while contributing effectively within a team environment.
- Physically capable of lifting up to 50 lbs and performing warehouse duties throughout the workday.
- Forklift certification or previous forklift experience is considered an asset.

WORK SCHEDULE
- Full-time, Monday to Friday.
- Occasional evenings or weekends may be required during peak business periods.
COMPENSATION
