The Opportunity
We’re hiring an Executive Assistant / Client Service Manager to be the connective tissue between our leadership team and our clients. This is a hybrid role by design: roughly half of your time will be spent supporting our leadership team with the kind of high-trust executive work that keeps a growing firm running smoothly, and the other half will be spent as a trusted point of contact for our clients — making sure their questions get answered, their onboarding feels effortless, and their experience with TenjaGo is the best part of their week.

What You’ll Do
Executive Support (~50%)
- Own and protect the calendars, inboxes, and travel logistics of the leadership team.
- Prepare agendas, take meeting notes, and chase down action items so nothing falls through the cracks.
- Draft and proofread internal and external communications on behalf of leadership.
- Coordinate team events, offsites, and the quiet behind-the-scenes work that keeps a remote team feeling connected.
- Build and refine internal processes so the same problem doesn’t need solving twice.
Client Service (~50%)
- Serve as a warm, professional first point of contact for clients — by email, phone, and video.
- Lead client onboarding: gather documents, set up accounts, and make the first 30 days feel effortless.
- Triage incoming client requests and route them to the right person on the bookkeeping team.
- Track client communications, follow-ups, and renewals so nothing slips.
- Spot friction in the client experience early and bring ideas to leadership for how to fix it.
What We’re Looking For
- 3+ years as an Executive Assistant supporting senior leaders, ideally in a professional services or small business environment.
- Demonstrated client-facing experience — you’ve managed relationships, onboarded clients, or run an account management function and you’re comfortable being the friendly face of a brand.
- Familiarity with bookkeeping or accounting context. You don’t need to be a bookkeeper, but you should be comfortable around financial terminology and accounting software (QuickBooks Online and/or Xero a strong plus).
- Availability during Canadian business hours (Mountain Time core), with the discipline to thrive in a fully remote setting.
- Fluent in Google Workspace and Microsoft 365. You can build a clean doc, a useful spreadsheet, and a calendar invite that doesn’t need a follow-up.
- Exceptional written communication. Clear, warm, professional — the kind of email a client is glad to receive.
- Discretion and judgment. You’ll see sensitive information about clients and the business; we need to trust you completely.
Nice to Have
- Experience working in a CPA firm, bookkeeping practice, or other professional services environment.
- Familiarity with practice management or client-portal tools (Dext, HubSpot, or similar).
- A track record of building or improving internal processes in a growing team.
