We are seeking an outgoing, detail-oriented, efficient person to join our amazing Admin Team in providing front desk support to our Psychotherapy practice. The ideal candidate will be adept at prioritizing, multi-tasking and have a positive attitude. This Candidate will also be willing to learn and grow with us! Fluency in spoken Punjabi is required, as you will sometimes communicate with Punjabi-speaking clients.
Pay: $21/hour
Shifts: the position will begin part-time (20-25 hours/week) with a potential to increase hours

To Succeed in This Role:
- You must have a passion for helping others as you will be the primary point of contact, communicating with and greeting our clients when they walk through our doors.
- You will excel if you possess excellent communication skills and the ability to lead and promote the vision of the clinic.
- You must be extremely organized, thinking 10 steps ahead, with the ability to see the big picture with an entrepreneurial mindset.
- You are able to use technology platforms, such as Google Workspace Apps and Jane App (practice management software)
Qualifications
- 2-3 years of experience in Client Care and Customer Service (preferably in a medical office at the front desk)
- Must be able to speak and understand Punjabi fluently
Responsibilities
- Supporting Psychologists, Psychotherapists, and Interns with client bookings, payments, administrating intake & consent forms, etc.
- Client support: welcoming clients to the office, answering client calls and emails, processing payments at the end of sessions
- Maintaining Quality Assurance (follow up to payments, securing payment information, uploading secure documents, managing the booking software including schedules and treatments offered)
- Maintenance of office area, office supplies, and clinical files
- Claims confirmations from Insurance companies

- Juggling multiple projects and to-do’s simultaneously is no problem for you — you work well under pressure, meet deadlines and keep promises
- Tech savvy (we are mostly paper-less and everything is online)
- An appetite for innovation and simplicity who is highly process oriented
- Working autonomously comes easy to you but you also love collaborating with a talented team
- Considerable experience using the Microsoft Office, Google Drive, Gmail, Dropbox, Windows in a work environment
- Knowledge of JaneApp practice management and scheduling software is an asset
