Job Summary
We are seeking a highly organized and detail-oriented Entry-Level Executive & Administrative Secretary & Project Technology and Systems Coordinator to join our dynamic team. This multifaceted role combines administrative support, project coordination, and technical assistance to ensure smooth office operations and effective project management. The ideal candidate will possess strong clerical skills, proficiency in various software tools, and excellent communication abilities to support our organizational goals and client interactions.
Duties
- Provide comprehensive administrative support including managing calendars using Microsoft Outlook Calendar and Google Workspace.
- Handle front desk responsibilities such as greeting visitors, answering multi-line phone systems, and maintaining professional phone etiquette.
- Perform data entry, filing, and proofreading to ensure accuracy of documents, reports, and correspondence.
- Assist with bookkeeping tasks utilizing QuickBooks and perform basic bookkeeping functions.
- Manage electronic signatures via DocuSign for contracts and official documents.
- Coordinate project schedules, track deadlines, and facilitate communication among team members.
- Support office operations through organizing files, maintaining supplies, and ensuring a well-organized workspace.
- Provide customer service support by responding to inquiries professionally and efficiently.
- Assist with miscellaneous clerical tasks such as copying, scanning, and preparing reports as needed.
Experience
- Previous office experience or administrative support role preferred but not required; relevant internships are welcome.
- Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Experience with bookkeeping software such as QuickBooks is a plus.
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
- Excellent typing skills for efficient data entry and document preparation.
- Knowledge of multi-line phone systems and front desk procedures is desirable.
- Demonstrated customer service skills with professional phone etiquette.
- Ability to proofread documents carefully and maintain high accuracy standards in all work performed.

Pay: $48,945.50-$76,221.67 per year
