PURPOSE: Reporting to the Office Manager, the purpose of the Receptionist Clerk position is to provide exceptional customer service to the community and provide administrative support to the They’she’num’ Public Works Building. This is a full-time permanent position that is required to work in the office with minimal local travel required.
COMPENSATION AND BENEFITS: Cowichan Tribes offers an excellent benefit and pension plan available after successful completion of the probationary period. The position includes paid training, paid vacation, and paid sick leave. Depending on experience, the position starts at $24.44-$25.90 per hour ($44,479.34 - $47,141.06 annually).
RESPONSIBILITIES: Provide Exceptional Customer Service
Greet all staff and community members in a pleasant and respectful manner
Offer assistance as needed
Manage multi-line phone system to answer, screen, and transfer calls to the appropriate employee orvoicemail
Receive and pass on messages to employees
Provide information to community members on department services and processes
Provide applications and other documents to community members to complete and assist whennecessary
Other related duties as required
Provide Administrative Support to Department and Programs
Sign in / Sign out duties as needed
Ensure reception areas and other common areas are clean and organized, including office closurecleaning and securing procedures daily
Pick up staff snacks and meeting refreshments as needed
Ensure the printer is maintained and paper trays filled
Track number of calls and walk-ins daily and compile numbers for month end report
Attend department staff meetings
Receive, file, and distribute incoming and outgoing mail
Copy, file, sort, shred, and assist other staff with administrative needs
Track and manage boardroom schedules and vehicle bookings
Assist with ordering all office supplies, cleaning supplies and furniture for the department
Coordinate courier services as needed
Other related duties as required
EDUCATION AND EXPERIENCE: (please attach all required documents)
Grade 12 or equivalent required
1-year administrative experience required
Certificate/Diploma in Applied Business Technology, Business Administration, Office Administration ora related field preferred
Experience working in a First Nations community preferred
Satisfactory Criminal Record Check required
KNOWLEDGE, SKILLS, AND ABILITIES:
Knowledge of Public Works programs, services and processes
Knowledge of Microsoft Office Suites and related programs
Knowledge of standard office equipment
Organizational skills with the ability to multitask
Time management skills and ability to meet deadlines
Good written, oral, and interpersonal communication skills
Ability to be personable, respectful, and helpful with a focus on good customer service
Ability to learn and adapt quickly, while facing continuously changing demands
Knowledge of Cowichan culture, language, customs, and traditions or a willingness to learn
