Condominium Manager Job Purpose: Maintains Property and Assets on behalf of Owners’ or the Corporation
Position reports to: Associate Broker or Broker in absence thereof
General Job Duties:
· Accomplishes financial objectives by collecting common area levies; paying bills; forecasting requirements; preparing an annual budget; scheduling expenditures; analyzing variances; initiating corrective action.
· Provide monthly financial statements and executive summary of operations to the Board or Owner(s).
· Approve expenses for payment.
· Liaise with Auditor and oversee preparations for the annual audit.
· Maintains property by investigating and resolving Owner complaints; enforcing rules of occupancy and Bylaws; inspecting vacant units and completing repairs; planning renovations; contracting with landscaping and snow removal services .
· Prepare a Management Plan for Properties within Portfolio managed.
· Maintains building systems by contracting for maintenance services; supervising repairs.
· Secures property by contracting with security patrol service; installing and maintaining security devices; establishing and enforcing precautionary policies and procedures; responding to emergencies.
· Enforces occupancy policies and procedures by confronting violators.
· Prepares reports by collecting, analyzing, and summarizing data and trends.
· Updates job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations.
· Accomplishes organization goals by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
· Determine staffing requirements
· Hire and train new staff
· Supervise direct reporting staff according to overall company policy
· Set employee goals and objectives
· Develop staff to maximize potential
· Monitor staff performance including performance reviews
· Delegate work duties to staff
· Allocate use of available resources
· Monitor and assist staff with work progress
· Evaluate current business processes and systems
· Plan and implement procedures and systems to maximize operating efficiency
· Establish and maintain controls
· Formulate department/unit policies and practices
· Evaluate staff performance, including the completion of annual performance reviews. Counsels underperforming staff and provide critical feedback to improve performance
· Utilize maintenance software program to enter in and track work orders, and regularly reviews maintenance reports
· Establish and maintain regular daily office hours, ensuring adequate coverage on weekends and holidays
· To comply with notices or orders by local authority or public authority requiring repairs of work to be done in respect of the parcel
· Attend Board meetings as per contractual agreements and to participate to the extent required by the meeting's chairman
· Liaison with Board appointed Representative
· To ensure that the Corporation's common property is properly maintained or repaired
· To keep a roster of names and telephone numbers of persons or firms which can respond to any emergency touching upon the common property of the Corporation on a twenty-four (24) hour basis
· To collect and deposit monies payable to the Corporation pursuant to the Corporation's By-laws in a separate account, in trust, for the Corporation
· To pay from the monies held in trust:
1. trade accounts properly incurred
2. insurance premiums payable for coverage required by the Corporation's By-laws
3. utility and service accounts properly incurred; and, iv) any other sum as directed by the Board
· To administer a fund for administrative expenses designated for control, management and administration of the common property, for the payment of any premiums of insurance and for the discharge of any other obligation of the Corporation; to determine from time to time the amounts to be raised for the purpose mentioned.
· To administer at the direction of the Board, including advising the Board of its projections, all particulars of the Capital Replacement Reserve Fund;
· Advise of long term maintenance needs following recommendations by professional Reserve Fund Study provider for portfolio managed.
· To keep accurate and proper accounting records of all financial transactions of the Corporation's money and to open those books only to any officer of the Board or any person authorized by the Board
· To provide the Board with financial statements by the 10th of each Month showing the financial transactions made on behalf of the Corporation
· To provide the Board with an estimated budget of income and expenses, for each fiscal year of the Corporation, at least sixty (60) days before the fiscal year commences. The budget shall apportion the levies required to be made upon each unit. The Managers shall assist the Board in estimating the future fiscal needs of the Corporation
· To keep an accurate and current log showing the names of the owners of each unit or the occupants of each unit, together with their addresses and telephone numbers
· To keep a log, to the best of it's ability, of the encumbrances and charges against each unit's title, together with the amount of any indebtedness, which together with the name and address of the encumbrance
· Monitor and ensure compliance with the Corporation Bylaws, rules and regulation
· To do any other thing which can reasonably be expected to be done by the Manager including any specific items noted in Specific Management Agreements

Salary is based on experience: 60 to 70 k plus bonus structure
