About this opportunity
This is a full-time position working remotely. You may be required on site from time to time for meetings or training.
The main focus of the Independent Medical Evaluation (IME) Coordinator is oversight of non-Auto assessments, which includes medical/legal, LTD, employer and government IMEs. The IME Coordinator also directs administrative support in the coordination of legal requests (this mostly pertains to Tribunal and Litigation).
Salary range: $60,000–$65,000 per year
Reporting relationship: Reports directly to Operations Manager unless otherwise specified

Medical Legal:
- Review incoming referrals and acknowledgement of each referral by email
- Setting up the file in Case Management system
- Sourcing of and booking of assessor and communicating with appropriate parties
- Direct Intake Admin to assign SSP’s (secondary service providers: transportation and interpreting)
- Report assessment appointment details to counsel
- Counsel to confirm attendance unless they request otherwise and Plaintiff Counsel needs to be contacted
- Request any outstanding Briefs and coordinate the distribution of medical brief accordingly (support provided by Documentation Admin team)
- Receive and record quotes for Assessments and submit invoice to referral source
- Issue report and supporting docs (CV and Form 53) to DC
- Upload report and invoice to through referral source methods
- Identify new opportunities and foster relationships in the med/legal tort marketplace
Employer Referrals:
- Discuss potential referrals with Employers to understand requirements and select appropriate assessor
- Setting up the file in Case Management System
- Sourcing of and booking of assessor and communicating with appropriate parties
- Report assessment appointment details to referral source
- Direct Admin team to retrieve appropriate medical documents
- Issue report to referral source
- Direct accounting for billing and issuance of manual invoice to referral source
- Issue reports to Evaluee as authorized and directed
Assessor Recruitment:
- Ensuring appropriate availability and expertise within the BI Assessor Roster to meet the needs of the business
- Responsible for identifying and anticipating assessor recruiting needs and sourcing appropriate assessors with the necessary expertise to ensure key metrics outlined in client service level agreements are met.
- Ensuring the recruitment and credentialing of assessor is completed properly (e.g., review of Curriculum Vitae, Good Standing with appropriate College, terms and conditions of Assessor obligations met, CanLII and social media searches etc.)
Back Up for Litigation and Tribunal Requests:
- Direct Admin team for appropriate handling of file production requests
- Respond to and coordinate expert witness availability
- Communicate with legal parties
What you need to be successful
- Experience in the Rehabilitation and Independent Medical Evaluation (IME) sector is mandatory
- Expertise in managing Medical/Legal, Accident Benefits, Disability, and Employer assessments mandatory
- Healthcare professional or healthcare background preferred but not mandatory (kinesiology)
- Strong organizational, multi-tasking and problem solving skills
- Customer service experience required, ideally in the service sector
- Excellent spoken and written manner
- Computer literacy (Windows, Microsoft office, Adobe)
- Ability to adapt to use of multiple databases
- Ability to communicate well internally and externally
