We are currently seeking a motivated and organized Installation Customer Representative to support our sales and operations teams and ensure a smooth, professional experience for our customers from quote to installation.
Position Overview:
As an Installation Customer Representative, you will play a key role in coordinating the steps between sales and installation. You’ll work directly with our Comfort Advisors, Installation manager, and homeowners to ensure every job is scheduled, prepared, and followed up on effectively.
Key Responsibilities:
- Work closely with Comfort Advisors to review and manage customer quotes.
- Coordinate with the Installation Inspector to gather site details and job requirements.
- Schedule installation inspections and installation dates with homeowners.
- Follow up on aged or pending quotes to assist in converting them to booked jobs.
- Maintain clear, proactive communication with customers regarding next steps, scheduling, and expectations.
- Track job progress to ensure all necessary information and documentation are complete prior to install.
- Accurately enter and update customer information in scheduling or CRM systems.
- Collaborate with internal departments (sales, installation, service) for smooth handoffs and job accuracy.
- Resolve scheduling issues and communicate updates as needed.
Qualifications:
- Previous experience in a customer service, scheduling, or coordinator role (HVAC, trades, or construction industry is an asset).
- Strong proficiency in Microsoft Office, especially Excel (data entry, tracking, scheduling, etc.).
- Excellent communication and interpersonal skills—both written and verbal.
- Detail-oriented and highly organized, with the ability to multitask in a fast-paced environment.
- Experience with scheduling/CRM platforms (FieldEdge, ServiceTitan, Jobber, or similar) is a strong asset.
- Positive, team-oriented mindset with a customer-first approach.
