The Opportunity

Reporting to the Facilities Manager, the Facilities Administrator plays a key role in supporting the day-to-day operations of the Innovation Saskatchewan Research and Technology (R+T) Park in Saskatoon. This position coordinates facilities services, administers contracts, manages building access systems and supports other R+T Park operations to help create a safe, secure and welcoming environment for agency staff, tenants and visitors.

The ideal candidate brings experience in facilities administration, contract coordination and property management. You must be organized, adaptable and possess a people-first mindset to help build relationships with stakeholders.

Primary Responsibilities

Duties include but are not limited to:

Coordinating the delivery of facilities service contracts, including janitorial services (e.g., general cleaning, waste management, carpet cleaning), guard services, fitness centre maintenance, workplace safety, and campus and building security.
Providing administrative support for janitorial contracts, including documentation, inspections and follow-up.
Scheduling annual carpet cleaning and floor refinishing.
Administering building keys and programming access cards to ensure agency staff, contractors and R+T Park tenants have access to the appropriate facilities.
Troubleshooting and customizing access requirements for R+T Park tenants within the access control system.
Monitoring and maintaining access control policies, documentation, audit activities and reporting requirements.
Assisting supervisors and asset management in identifying aging infrastructure, energy-saving solutions and conducting preventative maintenance work.
Collaborating with the Facilities Manager to source and coordinate new services based on the needs of R+T Park tenants.
Monitoring year-to-date and forecasted expenditures to support monthly variance reporting, quarterly forecasting and annual budgeting.
Managing and administering accounts payable and receivable for facilities service contracts.
Informing the agency and R+T Park community of service offering changes in a clear, timely manner.
Identifying opportunities to improve facility operations, security services and service delivery.
Supporting annual workplace safety inspections and ensuring identified issues are resolved.
Assisting with emergency preparedness activities, including annual reviews of emergency procedures, evacuation and fire safety plans.
Maintaining annual inventories of common area furniture and amenity equipment.
Assisting with the research, development, implementation and continuous improvement of facilities management policies, procedures and processes.
Supporting other administrators in the R+T Park Operations team as required.
Performing other duties as assigned.

What We Want from You

3 or more years of experience in facilities administration, property management or a related administrative role (preferred).
Diploma or bachelor's degree in business administration, commerce, accounting or related field (preferred).
A combination of education and experience may be considered.
A clear Criminal Record Check (required).
Knowledge of property management principles, contract administration processes and general accounting practices.
Strong understanding of budgets, forecasting and financial reporting.
Highly organized with a track record of delivering high quality results, while maintaining competing priorities.
Delivers exceptional service by prioritizing stakeholder needs and developing strong, professional relationships through clear and effective communication.
Possesses strong judgement and decision-making skills when working independently or as part of a team.
Strong negotiation and conflict resolution skills, with the ability to effectively navigate complex situations
Proficiency with Microsoft Office Suite.
