About the Role
Reporting to the Controller, the Accounting / Project Coordinator provides administrative and operational support for five pub locations. This role is also responsible for accounts payable, payroll entry through a third-party payroll provider, liquor ordering, merchandise inventory management, maintenance tracking and coordination, and social media analytics support.
Accounting Coordinator Responsibilities
· Manage accounts payable by obtaining invoice approvals, entering invoices into QuickBooks Online, and maintaining electronic records once payments are complete.
· Support payroll administration by entering new employees into Payworks, submitting employee hours each pay period, and issuing Records of Employment when required.
· Credit card reconciliations.
· Place liquor orders for all five pub locations and process related invoices accurately.
· Maintain merchandise inventory stored at head office.
Project Coordinator Responsibilities
· Coordinate and track maintenance work across pub locations, working closely with key maintenance contractors to monitor completed work, current projects, and equipment service history.
· Follow up with vendors to obtain regular status updates on active maintenance projects and provide management with relevant information to support decision-making.
· Support the Brand Manager with social media analytics and other related administrative tasks as required.
· Act as the primary contact for a rental property, coordinating maintenance work and responding to tenant-related requests as needed.
Qualifications
· 1–3 years of business administration experience.
· 1-3 years of accounts payable experience.
· Proficiency with Microsoft 365 applications, including Excel, Word, Outlook, Teams, and SharePoint.
· Strong organizational, time management, and communication skills, with the ability to manage multiple priorities while maintaining accuracy and attention to detail.
· Ability to work independently and collaboratively while maintaining professionalism and confidentiality.
· Experience with Payworks and QuickBooks Online is considered an asset.
· Basic knowledge of the restaurant or pub industry is considered an asset.
