DTech Services and Solutions Inc. is a growing HVAC company serving Ottawa and surrounding communities. We are looking for a smart, organized, and customer-focused Office Coordinator to support our daily operations, customer communication, CRM, sales follow-ups, and office workflow.
This is not a basic receptionist role. The ideal candidate should be comfortable multitasking, learning quickly, communicating professionally with customers, and helping keep the office organized as the company grows.
Responsibilities
- Oversee daily office administration and ensure smooth office operations
- Answer and make customer calls to schedule, confirm, and follow up on service appointments
- Communicate professionally with customers, suppliers, technicians, and management
- Manage CRM software and maintain accurate customer and job records
- Follow up on leads, estimates, customer inquiries, and online requests
- Assist with social media activities, Facebook community posts, Google reviews, and basic digital marketing initiatives
- Support rebate applications and customer documentation as required
- Assist with accounts payable, bookkeeping support, invoice tracking, and general administrative tasks
- Coordinate with suppliers regarding orders, deliveries, and inventory requirements
- Maintain organized records, files, and company documentation
- Support scheduling, dispatch, and technician coordination as needed
- Assist with special projects and business growth initiatives
- Perform other administrative duties as required
Experience and Qualifications
- Previous experience in office administration, customer service, sales support, or coordination roles
- Experience in HVAC, construction, trades, or service-based businesses is considered an asset
- Strong customer service and phone communication skills
- Experience with CRM software (Housecall Pro, Jobber, ServiceTitan, or similar) is an asset
- Familiarity with social media platforms such as Facebook and Instagram, and basic marketing
- Basic bookkeeping or accounts payable experience is considered an asset
- Strong organizational and multitasking abilities
- Proficiency with Microsoft Office, Google Workspace, QuickBooks, or similar software
- Ability to work independently, prioritize tasks, and manage multiple responsibilities
- Professional attitude with strong attention to detail
- Fluent English communication skills, both written and verbal (required)

Compensation
- $22.00–$28.00 per hour based on experience and qualifications
Schedule
- Monday to Friday
- Minimum 3 days per week in office
