We are seeking a proactive, highly organized Operations Coordinator to support our growing team. In this pivotal role, you will manage day-to-day operational administrative duties, oversee new hire onboarding, coordinate essential field training, process timesheets/payroll inputs, and seamlessly manage travel and logistics for our workforce.

Key Responsibilities
Onboarding & Recruitment:
- Coordinate seamless onboarding experiences for new hires.
- Manage employment documentation, maintain accuracy, and set up internal company systems.
- Assist with general recruitment and candidate outreach efforts
Payroll & Time Tracking Support:
- Collect, audit, and process employee timesheets and site hours for accurate payroll submission.
- Serve as the primary point of contact for employee payroll inquiries and resolution of time-tracking discrepancies.
- Collaborate with finance/HR to ensure timely payroll execution and accurate record-keeping across software systems.
Training Coordination:
- Schedule and track mandatory training sessions, including Drug & Alcohol (D&A) testing and D&A compliance training.
- Coordinate site-specific orientation and safety training programs to ensure full workforce compliance.
Travel & Logistics Management:
- Book, track, and manage travel arrangements, including flights, hotels, and ground transportation for deployment teams.
- Troubleshoot travel itinerary changes promptly to keep field operations on schedule.
Operations & Scheduling:
- Assist with coordinating complex shift schedules and field site access requirements.
- Provide day-to-day administrative support to the operations leadership team.
- Perform other operational support duties as assigned.
Qualifications & Skills
- Experience: Proven track record in an administrative, coordination, payroll, or operations support role (1–3 years preferred).
- Payroll Knowledge: Working knowledge of timesheet processing, basic payroll workflows, and time-tracking software.
- Organization: Exceptional organizational skills with a proven ability to manage competing priorities, tight deadlines, and shifting schedules.
- Communication & Precision: Strong verbal and written communication skills with a meticulous, detail-oriented approach to payroll numbers, paperwork, and systems data entry.
- Tech-Savvy: Comfortable adopting and navigating internal payroll platforms, HR databases, scheduling tools, and spreadsheets efficiently.
- Problem Solver: A proactive mindset with an adaptable, solutions-oriented approach to daily logistics.
Pay: From $56,000.00 per year
Work Location: Hybrid remote in Kelowna, BC
