About the Role

We are currently seeking an experienced Office Manager to provide high-level administrative support to our office staff and management team, while ensuring the day-to-day operations of the office run smoothly and efficiently. This position reports directly to the Branch Manager.
Job Type: Full-time, Permanent
- Monday - Friday 9:00 am - 5:00 pm
Location: Pickering, ON
Salary: $50,000 annually
Duties & Responsibilities:
- Act as a key resource for agents, providing support and guidance for real estate-related web-based programs
- Provide administrative support to agents, including typing/drafting documents, responding to emails and assisting with completing missing documentation
- Prepare real estate documents (offers, amendments, waivers, etc.) using Webforms/TransactionDesk
- Brokerload, update and manage REALM listings, including processing price changes and terminations with the required signed documentation
- Organize and audit listing paperwork using Webforms/TransactionDesk
- Upload and update showing/offer instructions using BrokerBay
- Appointment bookings, confirmations and cancellations
- Empty the contents of the internal courier bag, page the appropriate agents and prepare the bag along with the accompanying list
- Create monthly reports (month end)
- Coordinate the monthly schedule based on part-time support staff availability
- Supervise, communicate with and document support staff performance
- Onboard and train new support staff as needed
- Provide orientation to new agents on administrative support services
- Assist the Branch Manager with preparing materials for meetings, workshops and special projects
- Act as a back-up for other positions as required, including phone and after-hours support
- Perform other duties as required
Skills & Qualifications:
- Real estate experience is required (2+ years preferred)
- Previous supervisory experience is an asset
- Superior customer service skills, including an excellent telephone manner
- Ability to multi-task and manage multiple requests simultaneously
- Strong ability to remain patient and calm under pressure
- Excellent organizational and time management skills
- Working knowledge of Microsoft Office (Word and Excel), Gmail, and Google Docs
- Comfortable working with technology, troubleshooting and learning new programs
- Ability to work effectively both independently and as part of a team
