Position Overview
We are seeking a highly organized and proactive Job Scheduler to serve as the critical link between our Sales and Operations teams. In this role, you will own the front-end coordination of our project pipeline—ensuring that when a sale is made, all technical details are meticulously gathered, field site visits are optimized, and final customer approvals are secured before projects move to fabrication.

Key Responsibilities
- Logistics & Dispatch Management: Strategically plan and manage the daily schedules for our field team, optimizing routes and timelines for templators traveling to installation sites.
- Data Integration: Audit incoming files from the Sales team and proactively gather missing technical or structural project specifications directly from clients to ensure complete job files.
- Client Approvals & Sign-Off: Act as a point of contact for final customers during the pre-production phase; present final template details for client review and secure formal approvals before releasing jobs to the shop floor.
- Dynamic Problem Solving: Monitor operational capacity in real-time, swiftly resolving scheduling conflicts, site delays, or urgent adjustments to minimize downtime.
- Cross-Functional Alignment: Maintain clear, continuous communication loops between Showroom Sales, Field Technicians, and the Production team to ensure a seamless workflow from initial measurement to final installation.
Qualifications & Preferred Skills
- Industry Experience: 2+ years of proven scheduling or project coordination experience within the construction, countertop fabrication, or heavy manufacturing sectors is highly preferred.
- Regional Insight: A strong understanding of the residential construction, renovation, and interior design landscape within the Greater Ottawa Area.
- Workflow Intelligence: Proven ability to grasp complex manufacturing sequences and understand how field variables (e.g., site readiness, material lead times) impact shop scheduling.
- Tech-Savvy: High proficiency in Microsoft Office Suite (particularly Excel and Outlook) and hands-on experience navigating CRM or ERP scheduling platforms.
- Project Management Methodologies: Foundational knowledge of project management concepts. Holding a CAPM or PMP certification is considered a strong asset.
- Communication Mastery: Exceptional interpersonal skills with the ability to confidently navigate customer follow-ups, manage expectations, and collaborate with internal departments.
- Autonomy: A self-motivated, goal-oriented professional who can work independently and maintain extreme attention to detail in a high-volume environment.

Pay: $45,000.00-$52,000.00 per year
